Job overview

A new opportunity to join the Breast unit open access administrative team has arisen. You will be part of a well established administrative team managing around 5000 patients on open access follow up. The role is pivotal for the smooth running of the service supporting our patients. It will predominately be based on our Sutton site and may require some travel to our Chelsea site as required. The post holder will be involved in taking calls from patients, managing databases and working closely with the advanced nurse practitioners. Informal visits and calls to learn more about the post are encouraged and training will be provided from our supportive team. 

Main duties of the job

  • To provide administrative expertise to the Breast Open Access Program
  • To provide excellent administrative support to the pathway, including maintaining a robust system to track patients through their routine surveillance tests, track ad-hoc investigations dependent on patient reported symptoms and ensure treatment plans are adhered to
  • The post holder will organise and liaise with the clinical team to manage the pathway throughout a patient’s follow-up period. The post holder will liaise with other members of a busy, multidisciplinary team to support this follow-up model and continue to develop and enhance the service.

  • To support the Advanced Nurse Practitioner and Admin Team Leads within the Breast Open Access pathway.
  • To provide administrative and data management support.
  • Triage Breast referrals to ensure appropriate management, adhering to Access policy
  • Navigating referral criteria and establishing communication with primary care providers
  • Coordinating and updating the database held on EPIC to manage the follow-up pathways for patients and various review points for patients, ensuring it is kept up to date and accurate.

Education/Qualifications

Essential criteria
  • Educated to NVQ Diploma level or equivalent qualification or experience in a similar role
  • Exceptional understanding of medical terminology
  • Competent at Microsoft Excel, Word and Outlook
Desirable criteria
  • Association of Medical Secretaries, Practice Managers and Receptionists (AMSPAR) qualified or equivalent.
  • European Computer Driving License (ECDL) or Equivalent

Experience

Essential criteria
  • Patient interaction and clinical environments
  • Experience in working with databases, hospital IT systems
  • Experience of coordinating patient pathways
  • Substantial previous medical secretarial experience.
  • Experience of diary management.
Desirable criteria
  • Experience typing letters and dissemination of correspondence to patients and primary/secondary/tertiary care Experience appointment scheduling

Skills/Abilities/Knowledge

Essential criteria
  • Excellent interpersonal & communication skills with the ability to deal effectively with a wide range of people (e.g. medical & nursing staff, managers, admin staff) in a helpful manner.
  • Ability to communicate with patients about visit expectations
  • Ability to prioritise workload and adjust to work in light of unexpected events or changing priorities. To be able to use your own initiative planning own work for the day/week and work unsupervised where appropriate.
  • A flexible attitude to work & ability to contribute to the wider team.
  • Knowledge & experience of MS Office applications or Equivalent – extract data and present at project meetings.
  • Ability to grasp new concepts quickly
  • Ability to contribute to process improvement initiatives
  • Liaison with primary and secondary care
  • Evidence of ability to handle sensitive information without compromising confidentiality
  • Evidence of commitment to delivering high quality customer service
  • Demonstrable awareness of the needs of the multi-disciplinary team.
