An exciting opportunity has arisen to join the team at the West Wing Clinical Research Centre (WWCRC), NIHR The Royal Marsden Clinical Research Facility, one of the world's leading cancer research centres. In this varied role, you will provide reception, scheduling and administrative support, helping to ensure patients receive a seamless and positive experience throughout their research journey. 
Working closely with patients, families, research teams and WWCRC clinical staff, you will coordinate appointments and treatments, manage patient records, respond to enquiries and contribute to the efficient running of the unit. 
The successful candidate will have experience working in a healthcare environment, excellent communication and organisational skills, strong IT skills with experience with Epic an advantage and the ability to work effectively under pressure.

Main duties of the job

The West Wing Clinical Research Centre Administrative Assistant/ Scheduler/ Receptionist post is an integral position within The West Wing Clinical Research Centre (WWCRC) team, under the supervision of the Sister of the unit and the Matron. The post holder will assist with all administrative aspects of the unit including data collection, reception and clerical duties to maintain an efficient, welcoming and proactive administrative and receptionist service.

 

The post holders must adopt a professional and caring attitude with a polite and courteous manner in all aspects of communication to staff and visiting patients and their families. 

 

The post holders will assist with all administrative aspects of the unit including:

 

•       Scheduling a range of treatments. 

•       Booking appointments.

•       Providing a welcoming and helpful reception for day and outpatient areas.

•       Data collection

•       Other clerical duties associated with the running of the WWCRC

 

 

A uniform will be provided if required to ensure a neat and professional appearance.

These responsibilities will be carried out under the guidance of the Sister for WWCRC
 
Appointments, scheduling, and capacity management 

  • To deal with all patient research referrals from clinicians/ research nurses, ensuring that the treatment is scheduled within WWCRC guidelines.
  • To liaise directly with the patient regarding their treatment, providing information and reassurance and managing patient expectations regarding their appointment.


Clinic management 

  • To pre-prepare all clinics.
  • To manage overbooking.

Reception duties 

To run a highly efficient and patient-focussed reception service, including:

  • To meet and greet all patients and visitors to the unit in a professional, courteous, and friendly manner. 

 

General administration 

  • Maintaining filing systems as required, and ensures all appropriate paperwork is filed in the correct place.
  • Ensuring accurate updating of patient demographic details on the Patient Administration System and medical notes.

 

Person specification

Education/Qualifications

Essential criteria
  • Good general Education
Desirable criteria
  • ELC (European Computer Driving Licence) or Equivalent
  • NVQ Customer Care

Experience

Essential criteria
  • Minimum of six months working in a healthcare environment
  • Understanding of working with patients who are critically and chronically ill Previous office
Desirable criteria
  • Admin experience
