Job overview
An opportunity has arisen to join our Radiology Department as a Band 2 Receptionist / Clerical Officer for our Antenatal Ultrasound. The post holder will be part of an administrative team responsible for supporting our clinical service in managing daily demand and effectively prioritising urgent and non-urgent incoming referrals.
The post holder will act as a Receptionist / Clerical Officer to provide administrative support to our Antenatal Ultrasound team when required and provide an effective, efficient appointment service to the department and the Trust.
You will be a key member of the the team and will participate in the improvement of patient care across the department. Please note that a willingness to work across our Hillingdon and Mount Vernon Hospital sites is essential.

Main duties of the job
- Represent the department as the first point of contact at the reception by welcoming patients in a friendly and polite manner.
- To effectively utilise the radiology clinical systems i.e Soliton, PACs, Cerner & ViewPoint in supporting appointment booking and patient care
- Registering new patients on Cerner and updating patient details on all clinical systems; for accuracy, crosscheck patient’s demographic information with SPINE
- To ensure documentation is available in advance for antenatal clinic appointments
- Book appointments on Soliton for clinic follow-up appointments for patients as and when required
- Answer the telephone in a polite and friendly manner.
- Manage the request forms in date order and enter any relevant information onto form regarding booking instructions. Schedule appointments in Soliton diary to comply with current booking process and gestation
- Liaise with Sonographers and consultants regarding any issue of urgent appointments to comply with current targets
- Ensure all urgent appointment letters are dealt with accordingly and sent out as priority
- Confirm with patients that they are able to attend their appointment (to reduce DNA’s). In the event of a cancellation, telephone patients on the cancellation list to fill the slot
- Any other business as required by the Radiology Admin Manager

Essential criteria
- GCSE or equivalent. Maths and English grades A-C
- Spoken and written English to a high standard
- Previous clerical experience in an Hospital or Community is essential in a healthcare environment
- Experience using Patient Information Systems
- Managing non-routine appointment queries
Desirable criteria
- NVQ
- Previous clerical experience within a Radiology Department
- Knowledge of specialist waiting times and targets
- Knowledge of cancer tumour site turnaround time

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
