HR Administrator - Apprentice

A fantastic opportunity has arisen for a well-motivated administrator to join the HR Administration and Pay Team.

We are looking for someone who has an interest in working within HR in the NHS and has a passion for learning and development with great customer service skills.

You will join a well-established team, reporting to the HR Admin & Pay Team Leader. The team currently provides a seamless and effective HR Administration service to the Trust, liaising with external organisations, such as our outsourced payroll provider, this is a key part of the role delivering a high quality, customer focused service to the Workforce. You will be responsible for dealing with a variety of HR queries and the processing of electronic forms related to the employee life cycle.

Main duties of the job

To contribute to the delivery of a seamless and effective HR operational service, by providing high quality administrative services.

To be responsible for data maintenance of the Electronic Staff Record (ESR) and other workforce information systems. This will include inputting data used for payroll purposes e.g., details of HR transactional changes and leavers, populating other areas of ESR as appropriate. A high degree of 
accuracy and speed is required for this post and a good working knowledge of ESR is highly desirable.

To be responsible for the timely and accurate inputting, within required deadlines, of comprehensive sensitive and personal employee information onto ESR and other HR information systems, ensuring that employee records are accurate and up to date, so a high quality and accurate workforce information system is maintained for the Trust.

Electronic Staff Record (ESR) Inputting and Other Related Duties

1. Inputting of workforce/HR transactions ensuring that the HR side of ESR data fields is undertaken accurately and in a timely manner, so that payroll deadlines are always met.  Inputting and updating of individuals’ personal records as relevant. 
2. To ensure that the employee forms, such as e change and e leaver forms, are actioned accurately on ESR in line with the information received from managers. 
3. Populate all other ESR non-payroll related fields e.g., for Visa/RTW expiries, Fixed Term contract expiry dates, professional registration re-checks, DBS re-checks. 
4. Ensure that records are kept in line with the policy of employee records, archiving as appropriate.

Education/Qualifications

Essential criteria
  • Educated to GSCE level or equivalent experience
  • Willingness to work towards Level 3 CIPD

Experience

Essential criteria
  • Must be able to demonstrate previous work experience in busy office administrative role
  • Experience of working in a customer focussed environment, demonstrating a commitment to providing customer service to a high standard
  • Experience of using IT applications such as Microsoft office packages
Desirable criteria
  • Experience of using Electronic Staff Record (ESR)

  • Demonstrates good communication and interpersonal skills
  • Ability to multitask and prioritize effectively in a busy environment to tight deadlines
  • Demonstrates an ability to work well within a team and be a positive team player
