Our hospitals and community sites provide a wide range of inpatient and outpatient services, as well as emergency and planned care. The Trust is rated as “good” or “outstanding” in over three-quarters of the services inspected by the Care Quality Commission.

The Information Governance Team are looking for a highly motivated, organised, enthusiastic team orientated individual to join our Registration Authority (RA) team at Queen Elizabeth Hospital.
You will be a key member of the Information Governance Team, working closely with the departments RA Agent, Information Governance Manager (Information Security) and the Head of Information Governance & Assurance to provide supporting and assistance with the running of the Registration Authority/Smartcard functions.
It is essential that you are organised and have the skills able to provide technical and administrative support, registering staff for Smartcards, assigning specific access to the range of electronic patient records systems we host. This is a highly demanding role and requires someone who likes a challenge.
Main duties of the job
· The post-holder will assist the Registration Authority (RA) Manager and information governance Officer (information security) in the delivery of the RA service and its on-going operation and maintenance across the organisation. Duties include all aspects of the RA service and provide necessary administration support to the Information Governance department.
· The post holder will help aid the RA Manager and information governance Officer (information security) in ensuring that appropriate staff are registered for, and issued with Smartcards, following correct national and local procedures.
· To provide advice and assistance in monitoring staff access to systems and ensuring relevant roles, business functions and units are set up to support clinical and corporate functions

Detailed job description and main responsibilities
Key Result Areas & Performance:
Registration Authority
· Provide support to the Information Governance function in all aspects of the Registration Authority to the RA Manager and RA Agent
· Aiding the RA Manager and RA Agent in supporting deployments of National Programme applications
· To support the implementation of RA related projects across the Trust
· To help assist the RA Team to secure storage of documentation, equipment and consumables that are required for the operation of the RA function.
· Supporting the RA Manager and RA Agent in establishing standard operating procedures to revoke and cancel user access, ensuring that the procedures are adhered to.
· Occasional travel to other sites in the Trust to issue smartcards to users or troubleshoot RA related problems
· Troubleshoot both hardware and software issues in relation to RA services.
· Support in monitoring RA performance and escalate all non-compliance to the appropriate management level.
· Support in reviewing responsibility for the safe keeping of Smartcards and equipment.
· Assist with routine administrative RA tasks, including the preparation and completion of leavers and joiners reports, and maintaining up-to-date user records.
· Support the RA Team with regular audits and reconciliations relating to Smartcards, walkabouts, and access management to ensure compliance with NHS Digital RA policies.
· The post holder may be required to participate in provision of an extended hours service.
· Other ad-hoc duties required to meet the needs of the service.
Information Technology
· To liaise with the ICT Department to ensure RA processes are followed and understood within the provision of the ICT Service Desk function.
· To work with the ICT Department to ensure that access control mechanisms are in place and working as intended (for example Track-it)
· To support the monitoring and audit of access control mechanisms of the Trust’s ICT clinical systems
Information Governance
· To work closely with the RA Manager and RA Agent to ensure the Trust’s compliance of RA and access control requirements as outlined in the Data Security and Protection Toolkit.
· Monitor and report regularly to the RA Manager and RA Agent on any Confidentiality or Data Protection issues arising from the use of RA management system and other systems relating to access control.
· To support the RA Manager, RA Agent, and EPR Teams in managing user access.
Access Control Management
· To liaise the ICT Department and other systems managers (Information Asset Owners) in maintaining access control procedures and policies to ICT systems when required.
· To assist Information Asset Owner (RA Agent and Identification Officer) in auditing access control procedures of systems under their control.
Identity Management
· To support the RA Manager and RA Agent Information Governance function in maintaining Identity Management procedures
Information Security Awareness
· Working with the RA Manager and RA Agent to raise Information Security Awareness around RA systems and other access control mechanisms
Financial
· The postholder will help aid the RA Manager and RA Agent with stock checks on RA equipment and consumables.

The postholder may need to train other staff in the use of the smartcard systems as required to ensure RA services are always available.
