Job overview

We are seeking a highly motivated and enthusiastic Support Secretary who can provide excellent secretarial and administration skills to join our dedicated Secretarial Team within the Community Paediatric Service.  

The role involves supporting a team of Consultants and other health professionals. You should have excellent audio typing skills and experience (preferably within an NHS setting) and be computer literate with a broad experience of Microsoft Office packages.  You will need to be highly organised with a flexible approach to your work and have excellent communication and team working skills.  You will need to be self-motivated to manage your own working time effectively.  

Main duties of the job

To provide professional, comprehensive and confidential administrative support to the relevant health professionals and their team.
This includes typing and formatting of correspondence, clinical 
letters, reports and policies from handwritten, dictated, paper, or electronic information in line with Trust corporate guidelines.
To work collaboratively with other administrative colleagues and 
support staff.

Audio-typing, copy typing and formatting of clinical letters and reports where follow up actions as required. 
appropriate; meeting timescales as directed by your line manager. 
To take minutes of meetings, type and distribute to all members of staff 
Word processing, which may include letter, memos, notes, record cards, messages and email communication. 
Collate, provide, receive and appropriately store (manually and electronically) sensitive and confidential information, 
Maintain administrative systems set up in team offices to ensure an organised and efficient working environment for staff. 
Responsible for assisting with the booking of team training and responsible for maintaining local training records 
Undertake reception duties if required. 
To attend meetings, training and briefing sessions appropriate to either your job specific role or, as a staff member of the Trust.

Essential qualifications

Essential criteria
  • Good level of general education
  • RSA 3 / NVQ3 or equivalent, e.g. Information technology qualification, or training or relevant business or administration qualification
Desirable criteria
  • ECDL qualification
  • AMSPAR qualification

Knowledge, Skills, Training and Experience

Essential criteria
  • Working experience of Microsoft software.
  • Producing high quality reports and documents using the necessary Microsoft Office Suite applications (Excel, PowerPoint, Word and Outlook).
  • Minute and note taking experience
  • Demonstrative experience working within an administrative role.
  • Sound knowledge of office procedures, systems and practices.
  • Organisational skills
  • Good verbal and written skills
  • Ability to communicate and liaise effectively with a diverse range of people, including managers, staff partners, other organisations and individuals
  • Ability to prioritise workload effectively
  • Excellent spelling, grammatical, composition and numeracy skills
  • Excellent keyboard skills
  • Planning and organisational skills to prioritise and manage own workload, working independently as required.
