Main duties of the job

As a Medical Secretary your main duties will cover:

  • Medical audio transcription of clinical correspondence;
  • Carry out administrative instructions dictated in the correspondence including booking appointments via the Booking and Scheduling Department;
  • Update NPSA16 investigation tracker following transcription of correspondence;
  • Deal with internal and external telephone enquiries from patients, staff and external agencies;
  • Undertake routine office duties including printing, scanning and filing;
  • Organising your workload to meet our KPI’s.

  • Be able to prioritise your workload effectively;

  • Have an excellent eye for detail;
  • Be confident using a computer and Microsoft Office;
  • Have an excellent telephone manner;
  • Be able to communicate effectively and manage patient expectation;

Qualifications

Essential criteria
  • Word processing - Qualified to RSA III/NVQ level 3 or equivalent qualification/demonstrable skills (60+ wpm at 98% accuracy
Desirable criteria
  • AMSPAR Medical Secretarial Diploma
  • City and Guilds Certificate in Medical Terminology, or equivalent demonstrable skills/experience
  • ECDL or equivalent qualification

Skills

Essential criteria
  • Ability to communicate in a clear and concise manner
  • Advanced keyboard skills
  • Proven organisational skills and ability to prioritise workload with interruptions and changing priorities
  • Good command and understanding of English, punctuation and grammar

Experience

Essential criteria
  • Experience of audio typing
  • Experience of using Microsoft Word and Microsoft Outlook
  • Experience of successfully working within tight time frames and to deadlines
Desirable criteria
  • Experience of providing secretarial services in a hospital environment
  • Experience of medical audio typing
  • Experience of using digital dictation systems

Knowledge

Essential criteria
  • Knowledge of medical terminology within more than one specialty
Desirable criteria
  • Understanding of the Data Protection
