Job overview

The post holder will provide a comprehensive and confidential secretarial service and administration support to the mental health team and the Neurodiversity team within HMP Forest Bank. The post requires highly developed administration, secretarial and organisational skills.

The post holder will work between the two teams, 2 days with the Neurodiversity team and 3 days with the Mental Health team, both teams based within HMP Forest Bank.

Main duties of the job

As the Team Administrator you should have strong organisational and communication skills and be able to work closely and collaboratively with clinicians and managers and strive for high quality standards both personally and for the service. You will be responsible for dealing with queries, maintaining accurate records and managing referrals and the referral database.  

 As a point of telephone contact for the teams, the ability to demonstrate excellent customer service is an essential part of this post. The candidate will also be able to demonstrate excellent organisational skills, sustain quality in their document production, manage their own workload on a day-to-day basis, and prioritise work to meet deadlines.

Person specification

Education and Qualifications

Essential criteria
  • RSA Level III word processing or equivalent level of experience
Desirable criteria
  • Willingness to attend training sessions and attain further qualifications as required.

Experience

Essential criteria
  • Must demonstrate Admin/Secretarial experience
  • Must have experience of office technology including use of photocopier, fax, laminator etc.

Knowledge

Essential criteria
  • Ability to demonstrate knowledge of software packages required for role.

Skills & Abilities

Essential criteria
  • Ability to demonstrate a level of English Language proficiency consistent with the needs of the post.
  • Good communication skills when liaising with clients, colleagues, visitors when on the phone and face to face.

  • Ability to arrange appointments, meetings.
  • Ability to provide effective diary management.
