Job overview
An exciting opportunity has arisen for a Gynaecology Appointments Officer in the Jasmine outpatient department.
The successful Applicant will work as part of the team responsible for the booking of patients appointments , managing waiting lists and covering a busy reception area as well as a number of other administration tasks.
Main duties of the job
This role is to work in a busy Outpatient Area. As part of a small team , the successful applicant will carry out a range of administration tasks, which include the following
Processing referrals for routine, urgent and suspected cancer patients.
Booking appointments into various clinics.
Managing outpatient waiting lists to ensure appointments are booked in a timely and appropriate manner.
Cancelling and rescheduling various clinics.
Dealing with face to face and telephone queries from patients , GPS and members of the clinical team.
Covering a reception area , booking in patients as required .
preparing notes in readiness for clinics.

Detailed job description and main responsibilities
Gynaecology Appointments Officer Duties:
· To monitor and action items from the shared appointments inbox
· Answer telephone calls and actively deal with patient queries on a day-to-day basis
· Process all incoming referrals for Colposcopy,Hysteroscopy, & Urogynaecology procedures and input data onto Patient Centre.
· Be able to establish which clinic is suitable and book appointments with the agreed timescales, booking by urgency of referral.
· Work towards 2ww booking targets for Cancer referrals
· Putting patients on to the outpatient waiting list with the relevant information
· Process referrals through the e-Referral Service (ERS) & Monitoring of 2ww referral database
· Monitoring of the Envoy Reminder service
· Liaise with clinical staff for triaging of referrals
· Cross covering of roles- supporting the whole team
· Preparation of casenotes
· Sending documentation to patients for procedures clinics
· Booking all patients in line with the Trust Patient Access Policy

If successful this vacancy will require a Standard DBS check at a cost of £26.90. This cost will be deducted from your first Trust salary
In addition to this it will be a condition of your employment that you will join the DBS update service and pay the annual subscription fee of £16.

Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
