Job overview

  •  Provide Administrative support to clinical and non-clinical services.
  • To work as part of a team.
  • To answer telephone and/or email enquiries, processing and maintaining records (paper and electronic), using SystmOne, updating databases and spreadsheets, scanning, typing, photocopying, and arranging meetings/events
  • To receive telephone calls from patients who wish to book or change their appointments or have general enquiries.
  • To act as a first point of contact for all forms of communication.

Person specification

QUALIFICATIONS AND PROFESSIONAL TRAINING

Essential criteria
  • Higher national certificate, vocational Qualification Level 4, Foundation Degree or equivalent experience
  • Good working knowledge of Microsoft packages, including Word, Excel and Outlook
Desirable criteria
  • Evidence of continued professional development within the last 12 months

EXPERIENCE & KNOWLEDGE

Essential criteria
  • Ability to manage own workload and work unsupervised
  • Excellent interpersonal and communication skills, including effective report writing
  • Effective organisational and time management skills and the ability to work to deadlines
  • Have a good working of knowledge of IT databases, e.g. Datix and SystmOne
  • Previous experience of working in a busy, pressurised office environment
  • Experience of implementing new systems and processes
  • Ability to create innovative solutions and ways of working
  • Previous Supervisory experience
Desirable criteria
  • Project management process knowledge
  • Previous experience of working in the NHS

SKILLS & ABILITIES

Essential criteria
  • Evidence of self-management, organisation and time management skills
  • Ability to manage and distribute workload for team members
  • Experience and understanding of information management and technology issues
  • Ability to extract, analyse and report data and information to a range of audiences
  • Ability to work on own initiative, organising and prioritising own workload while dealing with competing demands
  • Ability to communicate effectively at all levels using e-mail, telephone or in person and to deal with confidential and sensitive issues with tact and diplomacy
  • Ability to lead a team and contribute to the success of the team
