Job overview
The role of the Diabetes & Endocrinology Utilisation Co-ordinator, is to ensure all patients are scheduled a within RTT national guidelines, ensure referrals are actioned and added to correct waiting lists, ensure follow up appointments are partially booked to waiting lists. The post holder will check utilisation of clinics, contact patients to reduce non appointment attendance using trust software.
The administration team consists of 5 staff who all work closely together to deliver the best service possible to all patients. Both services receive a high volume of referrals per year and support patients with their long term healthconditions.
We are looking for an enthusiastic individual to join the team, work effectively, have outstanding organisational and communication skills; work well with staff and the public, and must be able to demonstrate experience of working under pressure and to set deadlines
You will need a keen eye for detail, ensuring waiting lists are accurately maintained and administration processes followed to meet the targets set by both the hospital and the external agencies. Excellent telephone skills are essential as you will be in constant contact with both staff and patients within our services.

Main duties of the job
Clinical
- Liaise with colleagues within the department and other support services regarding patient core clinical activity, review and management of clinic templates to ensure the smooth running of clinics within Diabetes and Endocrinology.
- Use Choose and Book and EPRO to enable the booking of appointments.
- Arriving patients at clinics when needed, completing outcomes on InTouch in accordance with the trusts outpatient booking model.
- Maintain accurate waiting lists to enable partial booking.
- Be aware of data quality when transferring patients between waiting lists for appointments with consultants or nurses.
- Extensions of clinic dates ensuring suspensions and cancellations are carried forward.
- Utilisation of clinic slots and reduction in DNA rates using trust predictor software.
- Maintain RTT targets.
- Work with minimum supervision in an organised, effective and efficient manner.
Communication
- Liaise with other service users ensuring adequate resources are available to accommodate any changes made.
- Deal with telephone and email enquiries in a timely manner
- Communicate effectively, written and verbally at all levels

- Answering telephone calls from service users and relatives.
