We have exciting opportunity for someone to join our Administration and Clerical Team as a permanent Band 3 Team Secretary that specifically supports the Care Programme Approach (CPA) and Community Treatment Review (CTR) functions within the Maghull Health Park. 

Based within a general office environment, you will be motivated, flexible and committed to being part of a team that is dedicated to providing the best possible outcomes for the patients in our care.  Teamwork is promoted within out office environment as well as supporting our colleagues/Teams.   

The successful applicant must have current experience of working in an administrative role and have recent experience of taking live minutes in meetings.  Taking live minutes is a fundamental part of this role.

This post requires on site working, Monday to Friday 9-5 to support the inpatient clinical services. 

It is essential that you are able to evidence any certificates/qualifications that you add to your application form on Trac.  The successful candidate will need to produce these certificates/qualifications to Recruitment Team as part of the recruitment process.

You will be required to provide comprehensive, accurate and timely secretarial support to the Consultant Forensic Psychiatrist(s) in relation to arranging and taking live minutes in CPA / CTR Meetings. The Team Secretaries who support CPA / CTRs are responsible for handling a wide variety of administrative duties and being able to prioritise their workload accordingly. The potholder must be organised, hardworking, and efficient and at all times and be aware of confidentiality and quality issues. 

The post will contain a range of tasks which require you to work on your own initiative, with some tasks operating within clearly defined limits.  The post holder will have a good knowledge of Microsoft Office applications and the ability to accurately record data.  A key part of both roles is to schedule CPA/CTR Meetings within Trust guidelines and prepare for and take live minutes at a number of weekly CPA/ CTR meetings.  The post holder will also be required to undertake duties such as inputting into the relevant Patient Clinical Information Systems and undertaking audits as and when required.  The post holder will also be responsible for uploading documents to the Patient Clinical Information Systems and ensuring the CPA/CTR documentation is completed accurately and in a timely manner after each CPA/CTR Meeting.

The post holder will have demonstrable experience of preparing for and taking minutes plus the production and upkeep of action logs.  Preparation for meetings will include chasing up outstanding reports and actions in advance of the meetings.  The role will require the post holder to travel to Divisional and Trust locations to support Divisional meetings.

You will be motivated, flexible and committed to being part of a team that is dedicated and supports the highest possible standards of care to our patients. The successful applicant will have the ability to work on their own, to prioritise their workload and work to tight deadlines as required by the Clinical Service and Administration Manager.  The post holder will have excellent administration, organisational and communication skills, be willing to work flexibly and show commitment to providing a responsive service that meets the needs of the ward and patients in our care. 

You will be required to liaise with external agencies including: Mental Health Review Tribunal Offices; other Medium Secure Units; Social Services; Probation Services, Home Office and HM Prison Service. 

The successful candidate will have a good knowledge of all Microsoft Office applications including Outlook, Word, Excel and PowerPoint and will have experience of using Service databases and clinical information systems.
