Job overview

This post will be based at The Clatterbridge Cancer Centre – Liverpool

Permanent – 40 hours per week – mainly Monday to Friday, but could include some weekend and Bank Holiday work as required. Part time hours may be available by negotiation.

 

As a Medicines Delivery Coordinator, you will be responsible for the day to day running of our Medicines Delivery service, which delivers medicines directly to patients’ homes, and also delivers and collects dispensed and stock medicines to other clinical hubs around the area. You will plan driver rotas, assign work and plan delivery routes. You will be the point of contact for delivery requests and referrals, and responsible for contacting patients directly to arrange delivery times, and managing the delivery schedule around this. You will be responsible for ensuring the company vehicles are utilised in the most efficient way, and for collecting audit information. 

You will also be responsible for a variety of administration duties for both the delivery service and the PharmaC as a whole. This includes keeping accurate records for both deliveries and the company vehicles, completing documentation appropriately, filing, document archiving and managing time sheet submissions for the drivers. 

You will need excellent organisation and communication skills, ability to manage your own time effectively and follow procedures accurately.

Main duties of the job

·      Arrange deliveries and inter-site collections with the medication delivery drivers using CPL logistics software to organise

·      Contacting patients to arrange deliveries and communicating estimated delivery times, with responsibility for managing the schedule around both driver and patient availability.

·      Escalate issues to CPL management

·      Collect audit information and produce reports on the delivery service performance

·      Monitor shared email for patient queries

·      Be the first point of contact for any issues drivers have

·      General administration support duties within PharmaC as required (such as filing, minute taking, document archiving, prescription management, administration support).

·      Ensure all required documentation is completed appropriately relating to medicines deliveries, temperature controls, driver timesheets and company vehicles.

Working as Delivery Driver when necessary to provide cover.

Salary – starting at £28,379 per annum pro rata, increasing to £32,674 per annum pro rata after 1 years service (subject to successful appraisal and completion of mandatory training).

Qualifications

Essential criteria
  • Good general level of education
  • Good standard of literacy and numeracy
  • Full UK Manual Driving License
Desirable criteria
  • Pharmacy NVQ Level 2 or equivalent
  • Administration qualification

Knowledge

Essential criteria
  • Good knowledge of local Merseyside area
  • Excellent IT skills and ability to use Office software to produce reports and manage schedules and records
Desirable criteria
  • Awareness of medicines safe and secure handling and storage, including cold chain
  • Awareness of regulations surrounding pharmacy premises and medicines transportation

Experience

Essential criteria
  • Previous experience of organising / coordinating workflow and assessing priorities and capacity
  • Demonstrated experience of communicating effectively and professionally at all levels to deliver excellent service
Desirable criteria
  • Previous experience in similar role
  • Previous experience working in a Pharmacy environment
  • Previous experience in fleet management
  • Previous experience in logistics and/or driver management
