Job overview
Secondment will be consideredThe post holder will be expected to work with minimal supervision, demonstrating a high level of organisation and efficiency in order to maximise the effective use of their own time as well as that of the managerial staff.
They will provide comprehensive administrative support to the Divisional Management Team, ensuring smooth day-to-day operations and contributing to the overall effectiveness of the division. This includes managing communications, coordinating meetings and schedules, preparing documentation, and supporting various administrative and project-related tasks as required.
Main duties of the job
- Data Maintenance and Quality Assurance
Take responsibility for the maintenance, accuracy, and quality of data entered into divisional systems, ensuring data integrity across all records and reporting functions. - Follow-Up Care Administration Support
Provide administrative support for the effective coordination and delivery of the future follow-up care programme, including managing patient communications and scheduling. - Support for Drug Monitoring Programmes
Assist sub-specialty clinical leads by maintaining administrative systems for selected drug monitoring programmes, ensuring accurate documentation and compliance with clinical protocols. - General Administrative Duties
Carry out day-to-day administrative tasks including scanning, photocopying, filing, and document handling to support the smooth operation of the department. - Mandate Form Completion
Complete mandate forms as directed by the Divisional Coordinator to facilitate administrative and financial processes. - Appointment Booking
Book patient appointments for the division’s in-house services, ensuring that scheduling aligns with clinical availability and patient needs. - Medical Notes Management
Collect, track, and manage patient case notes as required to support clinical care and administrative processes. - Liaison with the Information Team
Work collaboratively with the Trust’s Information Team to support the production of reports and performance data for the division. - Data Input and Database Maintenance
Input data accurately and promptly into divisional databases and spreadsheets to support ongoing monitoring, planning, and reporting. - Colleague Cover During Leave
Provide cross-cover for colleagues during periods of leave to maintain service continuity and departmental efficiency. - Minute Taking for Divisional Meetings
Accurately minute divisional meetings, ensuring key discussions, actions, and decisions are clearly documented and distributed. - Other Duties as Required
Undertake any other reasonable duties as required to support the efficient running of the division, particularly during the absence of the Divisional Coordinator.
