Job overview

The post holder will provide an efficient front of house service predominantly out of office hours and on weekends supporting all members of staff working within the Mental Health Department at the Royal Glamorgan Hospital Mental Health Unit. 

 

As well as reception duties, the role will also encompass data entry and other Clerical Duties.  The post holder will be expected to portray a positive image and be able to liaise in a professional manner with colleagues, patients and visitors to the Department.

Main duties of the job

  • Answer the telephone, deal with queries relevant to the service and/or take accurate messages.
  • Meet and greet Visitors, Staff and members of the general public with professionalism and curtesy at all times.
  • Receive, open, sort and distribute incoming mail and prepare outgoing mail on a daily basis.
  • Use computerised system to book appointments and complete associated processes.
  • Use Room Booking system to book meetings.

Welsh Skills Desirable: This post is advertised as Welsh Desirable. This doesn’t mean essential; whilst the candidate doesn't need to have skills in Welsh, we'll consider it an advantage when short-listing and selecting candidates. This isn’t ‘fluency’, just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health. Qualifications/Knowledge

Essential criteria
  • Knowledge of administrative systems, admission, patient information systems, hospital departments, clerical/office procedures, data input procedures acquired through on-the-job training.
Desirable criteria
  • NVQII Business Administration or relevant experience, skills and knowledge.
  • OCR/RSA II typing or equivalent relevant experience and skills.
  • ECDL.
  • Knowledge of WPAS (Myrddin) System.

Experience

Essential criteria
  • Experience of using databases and data entry.
Desirable criteria
  • Previous NHS experience.
  • Previous front of house experience.

Aptitude and Abilities

Essential criteria
  • Good standard of literacy and numeracy skills.
  • Ability to transfer IT skills to new applications as required.
Desirable criteria
  • Welsh language speaking/listening skills at Level 3 or above
