Job overview

The ward clerk will provide an efficient clerical service to support the smooth running of day to day operational issues within the ward environment. 

The ward clerk will work as part of a busy team providing professional reception duties and clerical support to the ward, and be expected to liaise in a professional manner with patients, visitors, colleagues, and other agencies and undertake a wide spectrum of duties within the confines of the role.

The broad spectrum of the role will encompass general office duties, medical record administration duties, and reception and telephone duties. 

The ward clerk may also be required to cover at any site within the Mental Health Directorate as directed by their line manager.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Main duties of the job

The ward clerk will need to liaise in a professional manner with patients, visitors, colleagues within the Mental Health Directorate as well as across the UHB and others involved in patient care and undertake a range of duties within the remit of the role.

The emphasis within the Mental Health Directorate will be on team working, sharing of knowledge and experience for the overall benefit of the organisation.

Detailed job description and main responsibilities

·        Also to ensure that through personal development the post holder should assist in the implementation of UHB policies and procedures in order to achieve required organisational objectives.
·        Communicate with patients, carers, all disciplines within the Mental Health Directorate and partner organisations, visitors to the ward as well as other departments within the UHB.
·        Able to use a variety of communication and interpersonal skills and the ability to foster good working relationships at all levels.
·        Will need to receive and transmit routine information requiring tact, persuasive and empathetic skills when dealing with distressed clients and relatives in person or by phone and be aware of the reporting system should an incident occur.
·        To undertake general reception duties, meeting and greeting patients and visitors to the ward, responding politely and courteously at all times.
·        To liaise with porters for receipt and collection of mail and pathology samples.
·        To liaise with other colleagues/departments as required in a timely manner.
·        Maintaining confidentiality of information and acknowledging individuals personal beliefs, identify and preferences.
·         To be able to utilise judgement skills for seeking advice when dealing with difficult patients, visitors or telephone calls.
·         To understand and operate the security system if confrontational situations become out of control.
·        To understand and be able to read the unit fire board, ensuring all fire procedures are adhered to.
·        To be able to locate case notes and be able track them to appropriate location using the UHB case note tracking system as required.
·        Book follow up appointments following discharge.
·         To be able to utilise judgement skills for seeking advice when dealing with difficult patients, visitors or telephone calls.
·         To understand and operate the security system if confrontational situations become out of control.
·        To understand and be able to read the unit fire board, ensuring all fire procedures are adhered to.
·        To be able to locate case notes and be able track them to appropriate location using the UHB case note tracking system as required.

·        To undertake data entry as required, logging all admissions, discharges and periods of leave onto the Myrddin system within agreed timescales.
·        Ensure all patients’ personal details are correct at point of admission and discharge from the ward.
·        Ensure an adequate supply of patient identification labels and continuation sheets are available in case notes.
·        To make up subsequent volumes of case notes as required.
·        Ensure all case notes are tracked to ward on admission and to secretaries office on discharge.
·        Return all medical notes to other departments/hospitals as required ensuring tracked as appropriate.
·        Produce information signs as requested.
·        Laminate documents as required.
·        To understand and be able to read the unit fire board, ensuring all fire procedures are adhered to.
·        Dealing sensitively with patients in person and via the telephone.
·        Ability to deal with distressing circumstances which may appear when dealing with highly sensitive correspondence

Qualifications and/or Knowledge

Essential criteria
  • Be literate and numerate, educated to GCSE level or possess equivalent skills, knowledge and experience
Desirable criteria
  • NVQII customer care
  • Knowledge of Myrddin/WPAS & FACE

Experience

Essential criteria
  • Experience of using databases and data entry.
  • Experience of problem solving.
Desirable criteria
  • Has previously worked in the NHS or similar environment.

Aptitude and Abilities

  • Good interpersonal skills.
