Job overview

As Team Secretary the postholder will be required to provide a range of secretarial and clerical services to support the smooth running of day-to-day operational issues for the Clinical Team supporting the OPMHT, thus enabling a whole team approach with the aim of improving patient services and care. 

The Team Secretary will be expected to portray a positive image and be able to liaise in a professional manner with clients, colleagues and visitors.

·        Use in-depth knowledge of a range of secretarial procedures to include medical terminology and medical audio/copy typing along with minute taking to support the Consultant Psychiatrist and clinical team.

·        The emphasis within the Team will be on team working, sharing of knowledge and experience for the overall benefit of the organisation.

Main duties of the job

To attend multi-disciplinary meetings, ward rounds and case conferences to take minutes, ensuring timely production and distribution to all concerned 

To arrange meetings, including the organisation of venue 

 Communicate with all disciplines within the Team and across the Directorate as well as clients, carers, GPs, Pharmacies and other agencies involved in client care.

This doesn’t mean essential; whilst the candidate doesn't need to have skills in Welsh, we'll consider it an advantage when short-listing and selecting candidates. This isn’t ‘fluency’, just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health. Education/Qualifications

Essential criteria
  • 3 GCSEs or equivalent
  • RSAII/III Typing or equivalent relevant experience
Desirable criteria
  • Medical terminology
  • ECDL
  • NVQIII Business Administration

Experience

Essential criteria
  • Previous experience in a similar role
  • Ability to deal with handling difficult situations e.g. irate patients.
  • Experience of computerised and manual filing systems
Desirable criteria
  • Experience in problems solving

Skills

Essential criteria
  • Good standard of literacy and numeracy skills
  • Good interpersonal skills
  • Ability to prioritise workload
