An exciting opportunity has arisen within Cwm Taf Morgannwg Locality Primary Care Mental Health Support Services.
The role is full time (37.5 hrs per week) working Monday to Friday 9am - 5pm
The Administrative Assistant will provide effective administrative service to support the efficient running of the Local Primary Mental Health Support Services (LPMHSS) . As well as administrative tasks, the post holder will collect and input statistical information on service activity in line with both local and national requirements.
The Administrative Assistant will be expected to portray a positive image and be able to liaise in a professional manner with clients, colleagues and visitors to the Service.
The post holder will be expected to plan and prioritise own work load escalating any issues to the Admin Manager, Clinical Lead and Deputy Clinical Service Group Manager.
Main duties of the job
The post holder will be responsible for providing an efficient and high standard of Administration support to the LPMHSS .
The post holder will handle confidential and sometimes contentious and sensitive information and will therefore be relied upon to observe and comply with specific and implied confidentiality rules and policies.
The post holder is expected to work flexibly to support the Local Primary Mental Health Support Services (LPMHSS) and assist and support other colleagues if required this includes working as part of a team with the other administration staff across our 5 sites providing cover as required.
Welsh Skills Desirable: This post is advertised as Welsh Desirable. This doesn’t mean essential; whilst the candidate doesn't need to have skills in Welsh, we'll consider it an advantage when short-listing and selecting candidates. This isn’t ‘fluency’, just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health. Qualifications and/or Knowledge
Essential criteria
- 3 GCSEs or equivalent experience.
- Vocational Level 3 Business Administration or equivalent skills, knowledge and experience.
- Typing qualification or equivalent relevant experience.
Desirable criteria
- ECDL or equivalent experience.
- Knowledge of medical terminology.

- Experience of using databases
- Previous office experience.
- Experience of establishing new systems of work.
- Experience of gathering and submitting data
Desirable criteria
- Has previously worked in the NHS or similar environment.
- Experience of using healthcare systems.

- Ability to work in a busy and challenging environment.
Desirable criteria
- Welsh Language Skills (Level 3 and above/B2) are Desirable for this Role.
Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
