Job overview

The post holder will help in the smooth operation of the administrative aspects of the Ophthalmology theatre by relieving professional staff of clerical and administrative duties in which the post holder will play an integral part.

Main duties of the job

The Ward Clerk will play a key role in supporting the smooth running of the Regional Ophthalmology service by providing efficient and professional administrative services.  The responsibilities of the Ward Clerk includes preparing and maintaining patient case notes, managing cancellations and ensure data entry on relevant systems.  

Please note - the hours of working at 9:30am -5:30pm with the expectation to cover 7:30am - 3:30pm to cover colleagues absence.

To ensure an efficient and effective administration service to the ward clinical staff.

 

Assist the staff in administrative duties relating to the management of the ward e.g., acting on telephone messages / photocopying case notes for patient transfers etc.

 

Prepare case notes / collate investigation results and file appropriately when they have been signed by medical staff.

 

Ensure accurate ‘receiving in’ and ‘passing on’ of case notes.

 

Ensure all medical notes and test results are available for consultant ward rounds, including ‘post take’ rounds.

 

Prioritise workload and adjust according to needs.

 

Carry out messages between wards and various departments including medical secretaries, medical records, X-ray.

 

Collect and deliver items to the above as required. File reports and notes in liaison with nursing team

 

Makes changes in own practice and constructively undertakes own role in improving services as agreed, offering suggestions for improving services.

 

Follows policies and procedures and works within standard guidelines.

 

Provide basic and accurate information in-person and via phone/email

 

To maintain good communication with staff other professional colleagues, patients and patients’ relatives, maintaining confidentiality at all times.

 

Maintain personal contact with patients and their relatives through conversations.

 

Answer telephone enquiries in an appropriate manner, convey messages and refer to nursing staff where applicable.

 

          Liaise with other members of all relevant departments as                      appropriate.

 

Liaise with ambulance control organising discharges and transfers as necessary.

 

Responsible for monitoring and maintenance of office equipment ensuring it remains in working order.

 

Ensure that the ward stationary stocks are kept at the agreed levels.

 

Take every reasonable opportunity to maintain and improve professional knowledge

 

To cover pan gwent as and when due to service needs
