Job overview

An exciting opportunity has arisen for a Clinical Team Administrator to join the Business Support Team based at Thurlow House in Kings Lynn.  This is a full-time, Fixed Term  12 months Band 3 position, working 37.5 hours per week, Monday to Friday, 9:00am to 5:00pm.

You will be joining a committed and supportive team within a fast-paced environment, working with a range of clinical systems and Microsoft Office packages. A strong working knowledge of Microsoft Word, Excel and Outlook is essential. Experience using the Trust system Lorenzo would be advantageous; however, full training will be provided. 

The post will primarily support Mental Health Professionals within the CAMHS (Child and Adolescent Mental Health Services) team, helping to meet target waiting times and ensuring the effective progression of patients through their care pathway.  You will also provide comprehensive secretarial and administrative support to enable the CAMHS team to deliver an efficient and responsive service to service users and partner professionals.

As part of the wider Business Support Team, you will also be required to provide administrative support to Youth Team clinicians, Medics, and other professionals within the Children, Families and Young Persons (CFYP) Service at Thurlow House. This will include providing Reception cover when required.

Main duties of the job

  • Supporting Clinicians and Management Team. 
  • Compiling and monitoring Data to help track waiting times for Assessment and Treatment
  • Liaising with other professionals, our service users and their families daily
  • General reception duties, including dealing with telephone calls, general enquiries and maintaining an efficient and prompt message system, coordinating with team members
  • Provide accurate, prompt and efficient secretarial/administrative support to the Clinical Teams, which may include creating spreadsheets (including complex reports), data cleansing, letters to patients, photocopying, scanning and other general office duties
  • To raise agendas, take and process minutes for teams (across the locality) 
  • Raise procurement requests.
  • Diary management as required for team members to include appointments / meetings, and organisation of workloads
  • Contribute to effective communication by liaising with internal and external parties and agencies as required on behalf of the team. 
  • Deal with correspondence and communications liaising, prioritising and co-ordinating with the team, other professionals and service users. 
  • Provide non-clinical information to internal and external colleagues where necessary.
  • Ensure confidential information is retained and stored in line with Trust policy and Data Protection guidelines, in an efficient and effective manner. 

Provide cover for other administrative staff during holidays and sickness, across the Locality.

Essential criteria
  • NVQ 3 Business Administration or equivalent or working towards.
  • NVQ 2 Customer Services or working towards
  • Pitman/RSA III Typing / Word Processing or equivalent secretarial experience at intermediate level.
Desirable criteria
  • Knowledge of Trust electronic record system

Knowledge

Essential criteria
  • Good working knowledge of Microsoft Packages or equivalent
  • Maintaining administrative / secretarial systems
Desirable criteria
  • Knowledge of NHS policy / procedures

  • Excellent articulate communication skills
