Job overview

The Diabetes and Endocrinology department is the largest in the East of England, and one of the largest in the UK. The department directorate supports a full range of specialist and general clinical services.

The Endocrinology & Diabetes dept is based on level 3 in the East Outpatients block. Our admin teams are located at the NNUH and also at Rouen Road.

We’re looking to recruit a motivated and diligent waiting list coordinator to support our busy, friendly and brilliant team. This is a post designed to support a department that provides support to a wide range of patients. This post is based at our Rouen Road office in Norwich city centre and will form part of a wider waiting list team.

Whilst the role does not bring you in to direct face to face contact with patients, you will be in communication by phone and e-mail. Main duties of the job

We would like an individual with first class communication skills, who can hit the ground running. Previous waiting list experience is desirable, and any existing knowledge of NHS policies would be really beneficial. Experience of working in clinical setting such as a hospital or clinic would be ideal along with strong IT and data processing skills. This role will incorporate data entry and spreadsheet work and you will be expected to work with our patient database PAS and our referrals console, so any previous knowledge of these would also be beneficial. There will be a lot of patient contact and dealing with incoming referrals and coordinating, arranging and booking clinics.

You will be working as part of a wider admin team but will be working directly with other waiting list coordinators, so the ability to communicate effectively with colleagues will be essential, as will the ability to prioritise and work on your own initiative. You will help maintain patient activity and capacity and help with general administration for other parts of the service. You will need to provide reports on waiting lists and ensure clinics are fully booked to keep the flow of activity constant. This role gives the ideal candidate a chance to grow their knowledge, learning lots about our specialty.

Detailed job description and main responsibilities

  • Undertake responsibility for Endocrinology & Diabetes waiting lists ensuring compliance with local and national target / policies and ensuring relevant documentation is sent to patients and information entered on to the appropriate IT Systems.
  • To have a comprehensive knowledge and good understanding of Patient Access Policy to always work in line with Trust and National policies, procedures and targets on real time data entry and confidentiality
  • Good working knowledge of PAS and the ability to undertake RTT recording as appropriate. Record all relevant information to Trust guidelines in line with Information Governance and policies.
  • To implement booked admission protocols and procedures for Endocrinology & Diabetes; this will involve mutually agreeing a booked date for patients attending the unit. To initiate action regarding cancellation.
  • To oversee daily operating lists, ensuring they are full and accordingly meet the demands of the consultants and the Unit.
  • Close liaison with the medical secretarial staff to ensure accurate updating of information.
  • Compile the departmental theatre lists, and assign patient confirmation times.
  • Ensure that the relevant documentation required by the unit about the patients is kept in an efficient and accessible manner.
  • To verify and record all patients details on the patient management system in use within the unit (including waiting list card details) as required
  • Ensure all urgent referrals are dealt with in accordance with Patient Access policy
