Job overview
The post holder will co-ordinate the day-to-day management of the Consultants and Doctors staffing rotas on Health Roster and Excel using clear communication, planning and organisational skills. To ensure the appropriate level of medical staff and to ensure necessary action is taken in-order to main adequate coverage of service requirements ahead of time.
They will act as a first point of contact for all doctors concerning locum duties, sick leave, annual leave & study leave. This will include approval the requested leave and updating electronic systems.
Main duties of the job
The post holder will be responsible for the administration processes to support the management of the on-call rotas for Consultants, Trainee and Locally Employed Doctors rota ensuring all shifts are covered and any sickness / leave is recorded and any issues flagged within the Division in order to follow Trust absence management policies. The post holder will identify service gaps in the rota and proactively plan/initiate acquisition of any locum doctors required in a timely fashion, in-order to meet service needs and cover any gaps in the rota. Ensuring gaps are advertised and rostering/bank systems are updated. Ensure that completed bank bookings and hours are cross checked against approvals and relevant payroll actions are taken. Acting as first point of contact for doctors with queries regarding bank shifts they have undertaken.

Essential and desirable
Essential criteria
- Foundation degree level or equivalent experience
- Minimum 3 GCSE at Grade C or above, including English of equivalent
- Experience of working with Rotas and understanding of and ability to advise on working time regulations, contractual conditions and terms and conditions of service
- Knowledge of core NHS HR policies and procedures and equality agenda.
- Able to produce and collate information and to maintain manual and computerised records, including use of Staff record systems, rota and rostering systems.
- Excellent keyboard skills and good working knowledge of Microsoft Office in particular Excel spreadsheets
- Demonstrates good written and verbal communication skills
- Attention to detail and accuracy and ability to respond to queries
- Analytical and judgement skills for problem solving, including the ability to consider conflicting demands on rosters
Desirable criteria
- NVQ3 Business Admin or equivelent
- Experience of working in the NHS
