Job overview

Harrowden C  ward  is looking to recruit a part time Ward Clerk to join their busy team.

Hours will be  08:00 to 16:00

You will need to be a team player, have the ability to work as part of a team and on your own initiative, a flexible approach to tasks in a changing environment, excellent communication, organizational, interpersonal skills, stay focused and calm in difficult situation and competent in using IT systems.

Main duties of the job

·      To maintain the patient records and other ward records using in-house computer-based systems.

Update in-house systems and prepare notes for digitalisation.

To communicate with the patients regarding demographics and other personal details to ensure the patient administration system is updated.

To prepare the unit ready for the following day with the relevant documentation.

To use effective communication skills to deal with telephone queries according to the agreed standard and give the appropriate information as required. 

Always observe confidentiality (patients, visitors, personnel or any trust details

Observe all instructions regarding policies and procedures of departments and Trust

Detailed job description and main responsibilities

·       To maintain the patient records and other ward records using in-house computer-based systems.

To communicate with the patients regarding demographics and other personal details to ensure the patient administration system is updated.

To complete the process to check and sent discharge notes.

Update in-house systems and prepare notes for digitalisation.

To prepare the unit ready for the following day with the relevant documentation.

Committed to developing own skills and assist in training and development of others

To use effective communication skills to deal with telephone queries according to the agreed standard and give the appropriate information as required.

To photocopy/scan documents as required. Always observe confidentiality (patients, visitors, personnel or any trust details)

Observe all instructions regarding policies and procedures of departments and Trust

Ensure the reception desk is clean and tidy at all times

Person specification

Qualifications

Essential criteria
  • NVQ level 2 qualification in administration or equivalent hospital experience
  • Good standard of Education to include Maths and English

Knowledge/Experience

Essential criteria
  • Proficient keyboard and data entry experience
  • Previous experience of working in a hospital environment
  • Demonstration understanding of GRDP
  • Experience in the use of computerised administration systems careflow

Skills

Essential criteria
  • Be able to demonstrate the use of office equipment including photocopier, printers and telephone
  • Demonstrate a high level of personal-self management and organisation i.e organising own day-today activities
  • Demonstrate skills of tact, sensitivity when dealing with complaints and enquired both verbally and written
  • Be able to respond to and manage appropriately to patient and families where there is distress/emotional circumstance
