Job overview

An exciting opportunity has arisen for a Clinic Coordinator to join our outstanding Oncology Team on a 12-month maternity cover basis.

We are seeking a highly organised and proactive individual with excellent attention to detail and strong communication skills. You will be committed to delivering a first-class service to patients in a fast-paced clinical environment, supporting the smooth running of oncology clinics and ensuring an exceptional patient experience.

To work as part of a clinical clerical team to support a defined team of clinicians, nurses and other healthcare professionals.

Provide an efficient administrative and day-to-day support service to the department. Duties will include booking of outpatient and treatment appointments, co-ordination of 
outpatient clinics for a defined team of clinicians, dealing with different enquiries, dealing with patients’ records and other general office administration duties.

Undertake effective administrative and clerical duties as part of the administration team.

The post holder will be required to work as part of the administration team and provide cross cover during periods of staff absence within their existing team and other teams 
within the Directorate as and when required. 
This support should be provided during the core hours of 0800 and 1800 and should be aligned to the Direct Clinical Care time of the Clinical Team for whom they support.

Main duties of the job

The successful candidate will be a conscientious and enthusiastic team player with excellent organizational and communication skills. A good understanding of current NHS referral to treatment targets would be advantageous. You will need to be able to demonstrate a clear understanding of confidentiality issues, be well motivated and reliable. You must be able to understand and accurately convey verbal and written information and be able to remain calm under pressure.

You will have an understanding of outpatient appointment booking, managing referrals and clinic booking. You will also be able to prioritize your workload and that of the team with constantly changing demands, meet agreed deadlines and use your own initiative. This includes ensuring referrals are dealt with in a timely manner and dealing with enquiries from patients and clinicians both in person, email and on the phone. Knowledge and experience of RTT pathways & referrals would be advantageous.

Good team working is essential for the effective delivery of the service. The successful candidate must be hard working and have a flexible approach to the post.

Detailed job description and main responsibilities

Main Duties and Responsibilities

To assist the effective management of patient pathways ensuring all necessary appointments and treatments are booked in-line with Trust and national targets.

Responsible for New and Follow Up outpatient appointment processes, ensuring that the requirements of the patient as well as the clinician are met, receiving and coordinating referrals to clinics and ensuring the rapid access to those clinics as appropriate. 

Ensure all relevant Trust and National targets are adhered to.

To work as part of a clinical clerical team to support a defined team of clinicians, Pharmacists, nurses and other healthcare professionals.

To ensure outpatient treatment capacity is accurate and utilised effectively.

To ensure treatment area capacity is accurate and utilised effectively.

Coordinate treatments and appointments in conjunction with consultant and clinic teams ensure effective time management and utilisation.

Attend Meetings as required to ensure effective communication with all service users.

Assist in the use of trust databases and patient information systems and ensure that all data is correct and up-to-date. 

Provide robust audit data for local and national targets where appropriate.

Provide cross cover within administration teams during absence and comply to relevant policy on attendance and performance management, staff appraisals etc.

Ensure confidentiality is maintained in all communications and the documents end of the sensitive information as secure at all times.

Maintain close cooperation and liaison with team members and support the effective functioning of the trust as a whole as required. 

Provide the focal point of communication for medical professional and allied medical staff both within this Trust and with external organisations and patients using judgements as to facilitate a successful outcome for all enquiries.

Deal with telephone and face-to-face enquiries from patients, relatives carers and all staff groups providing information directing and prioritising queries as appropriate to ensure efficiency and effectiveness of service delivery.

Deal with concerned patients/relatives and with tact, patience and discretion especially when conveying sensitive information.

Prepare case note folders and complete necessary documentation for all new patients.

Liaise with other hospital departments, GPs and other health care agencies when required.

Assist and help colleagues when the need arises.
