Job overview

We are seeking to appoint a Clinic Coordinator to work as part of a clerical team to support clinicians, nurses, and other healthcare professionals by managing and maintaining outpatient clinics and waiting lists.

Main duties of the job

 The successful candidate will provide an efficient general administrative day-to-day support to the department and the patients. Duties will include booking of outpatient appointments, managing Clinician’s availability, ensuring all outpatient clinic availability is booked appropriately and fully utilised, checking performance reports.  Supporting the team dealing with incoming and outgoing telephone calls, post, scanning documents, and other general administrative duties. Providing cross cover for colleague absence across all directorate sub-specialities.

Detailed job description and main responsibilities

Booking appointments via the PAS system, managing multiple Clinicians’ clinics in line with their medical rota and ensuring appointments are booked within the Access Policy Protocol and RTT directives.

 Use the electronic referral system to manage incoming referrals.

 Monitoring performance reports for the Trauma and Orthopaedic outpatient service.

 Liaise with hospitals and departments, GP’s and other health providers

 Provide general administrative services as required by the department.

 Supporting new members of junior staff with local training

 Locate medical notes within the department or request them from other locations

Scanning letters and reports into medical notes promptly

 Deal with telephone or face to face enquiries within agreed limits and take appropriate actions

 Provide cross-cover within the wider outpatient teams and implement relevant organisational changes

Education

Essential criteria
  • Minimum 3 GSCE at grade C or above including English or equivalent
Desirable criteria
  • Administration qualifications

Knowledge & Experience

Essential criteria
  • Good IT skills including Microsoft packages
  • experience of working in busy office/reception environment
  • excellent written and verbal communication slills
