Job overview

The post holder will be part of the CAMHS Medic Administrative Team and provides support to designated Senior Clinical/Medical staff within CAMHS.

 

The post holder will also maintain effective office systems for the delivery and maintenance of Medical Appointments/Reviews. They will be flexible and use their initiative to organise their own workload dependant on the priorities and requirements at the time.

Main duties of the job

 To provide a full and efficient secretarial administrative support to identified Senior Clinical/Medical staff within CAMHS

To maintain SystmOne Rotas, assist scheduling clinical workloads in conjunction with the Senior Clinician/Medic and liaise with other relevant parties concerning the planning and re-scheduling of appointments as necessary.

 To ensure timely production of clinical documents and relevant associated administrative tasks.

 To ensure that data is collected, recorded and submitted where required.

 Partaking in ad-hoc admin duties, including reception area cover.

Detailed job description and main responsibilities

Essential:

·        Knowledge of secretarial and administrative procedures and systems, the majority of which are non-routine, acquired through training and experience to vocational level 3 or equivalent; plus knowledge of specialist functional/medical/legal terms, organisational policies and procedures and knowledge and experience to deal with non-routine issues such as problem solving for an area of work or developing alternative or additional procedures.

·        Experience of working in a Team.

·        Experience in managing an office.

·        Organisational / administrative / secretarial skills and experience at Medical Secretary level.

·        Competent IT skills, including Microsoft Excel, Word, Powerpoint (or equivalent).

·        Knowledge of health systems and procedures.

·        Experience of typing and data entry.

·        Experience of working across professional boundaries.

·        Proven ability in proactively managing challenges.

·        Experience of undertaking audits.

·        Prioritise own and Team workloads to ensure effective time management.

·        Experience of typing complex letters.

·        Experience of effective electronic diary management (Microsoft Outlook, Clinical system rotas etc.).

·        Knowledge of Equality and Diversity and Data Protection legislation.

 

Desirable:

·        Experience of using Mental Health systems (SystmOne)

·        Experience of Agresso, ESR and eRostering

·        Knowledge of NHS targets and diagnostic pathways

·        Experience of taking minutes for high level meetings

 

·        Previous administration/secretarial experience in the NHS.

·        Ability to motivate self and others.

·        Can demonstrate the ability to appropriately challenge existing ways of working.

·        Excellent verbal and written communication skills.

·        Excellent time management and organisational skills.

·        Ability to work independently and organize a varied workload, meeting competing demands. The post holder will need to take initiative and work in a self-directed manner.

·        Effective negotiation skills that demonstrate a flexible and Service-user friendly approach.

·        Ability to occasionally deal with distressing or emotional circumstances / complex and sensitive matters including receiving complaints and escalating where necessary.
