Job overview

We have an exciting opportunity for a Band 2 Ward Administrator to join an evolving and inclusive team to provide administrative support to community inpatients at Beechwood Ward in Rushden.  We are looking for a dynamic individual, with great team working qualities and an interest in learning new tasks in order to support wider teams.  Candidates must be flexible and able to use their own initiative to organise their own workload dependent on the priorities and requirements at the time. Good IT skills and flexibility are essential for this role.  There is the option to access further training whilst you are in post.

The post holder will work alongside Team Administrator, Nursing, Therapy and Medical team supporting the community inpatient service in Rushden.  You will be based at Beechwood Ward in Rushden.

37.5 hours per week, permanent post.

Main duties of the job

-To provide administrative and clerical support for the ward team to assist in the smooth running of the ward focused on patient care.  To prioritise administrative tasks to meet deadlines as required. Support to reduce admin pressures on staff releasing clinicians time for ‘time to care’.

-Work with the ward staff including nurses and therapists with administrative tasks such as booking transport, ordering medications, answering the phone, filing, faxing and scanning.

-Covering Reception duties, first point of contact for visitors to the ward

-Ensure archiving of medical records adhering to trust guidelines

-Arrange and develop admissions and welcome packs

-Assist and support staff with IT issues where applicable

-Report and monitor medical equipment maintenance chasing calls as required

-Use of SystmOne, excellent record-keeping

-Stock checks and ordering supplies

  • Good level of general education or equivalent knowledge and competency.
  • Knowledge of Outlook email package and Word and Excel
  • Excellent time management skills required to manage workloads
  • Effective communication skills are essential, the post holder will be dealing with complex and sensitive information.

  • Previous Experience of similar role within the public sector (Health)
  • Some experience in an administrative position
