The Role

e have an opportunity for an experienced Medical Secretary to join the NCGPA practice teams. For this role, we are seeking a motivated, enthusiastic, and committed individual with a proven track record of delivering high-quality administrative support within a general practice or healthcare environment. Strong organisational skills, accuracy, and excellent attention to detail are essential for this position.

All staff are required to be flexible and to contribute to providing cover when necessary for colleagues who may be absent due to holidays or illness. This is a mandatory requirement of the role.

Main duties of the job

  • Monitor and action general practice tasks.

  • Manage all referrals, including urgent 2-week wait, coordinating with hospitals and community services.

  • Process medical record and report requests from insurers, solicitors, and other agencies, ensuring consent.

  • Take minutes at meetings, including monthly, quarterly, and MDT meetings.

  • Assist with opening and distributing mail, sharing responsibility with reception staff.

  • Act as Safeguarding Admin Lead, maintaining registers and supporting meetings.

  • Manage cervical screening (QOF), smear and bowel screening results, minor surgery reporting, care home audits, and other ad hoc reports.

  • Maintain accurate patient records in line with GDPR.

  • Prepare templates and forms for clinicians, including referral proformas and insurance reports.

  • Book patient appointments for specialist reviews, investigations, and medicals.

  • Track referral outcomes, monitor ERS workbench, and follow up on advice and guidance requests.

  • Serve as a point of contact between GPs, patients, hospitals, and external agencies.

  • Respond to patient queries regarding correspondence, referrals, or medical reports.

  • Liaise with colleagues to ensure smooth workflow.

  • Generate and track invoices.

  • Stay up to date with clinical and administrative pathways.

  • Support reception/admin and prescription teams as needed.

  • Provide cross-cover across NCGPA practices, including urgent, 2-week wait, and medical examiner referrals.
