Job overview

We are seeking a well‑motivated and enthusiastic individual to join our team and contribute to the delivery of a high‑quality service for all users of the Postgraduate Education Centre.

 The Education Programme Coordinator plays a key role in organising and administering curriculum‑related activities for resident doctors in training, ensuring that educational programmes are delivered effectively and in line with training requirements.

 This role involves coordinating teaching programmes, meetings, inductions, assessments, clinical examinations, supervision arrangements, and associated documentation. The post holder will work closely with learners, supervisors, and senior educational leads to support the delivery of high‑quality postgraduate medical education.

Main duties of the job

Organise and facilitate curriculum‑related activities for resident doctors, including teaching programmes, meetings, inductions, assessments, clinical exams, and associated documentation.

 

Plan, organise, and publicise educational events and meetings.

 

Support Clinical Leads, Programme Directors, and College Tutors in coordinating educational opportunities for all doctors in training, including those in NHSE‑funded and Trust‑funded posts.

 

Act as a key point of contact for educational programme enquiries, responding appropriately to sensitive and complex queries and escalating information to relevant team members and clinical leads.

 

Work autonomously to plan and coordinate educational activities, considering internal and external factors.

 

Participate in the organisation and delivery of corporate and local inductions.

 

Monitor attendance at teaching sessions, identify individuals not meeting required targets, and report attendance concerns to the Training Programme Director or College Tutor.

 

Develop and implement systems for evaluating teaching sessions, analysing feedback, and reporting outcomes.

 This role involves coordinating teaching programmes, meetings, inductions, assessments, clinical examinations, supervision arrangements, and associated documentation. The post holder will work closely with learners, supervisors, and senior educational leads to support the delivery of high‑quality postgraduate medical education.

 The position requires excellent customer service skills, a proactive and positive approach, and the ability to communicate confidently with a wide range of medical and non‑medical professionals.

 Experience handling complex, confidential, sensitive, and financial information is essential, as is the ability to use tact, persuasion, and negotiation when required.

 The post holder will work across both the City Hospital and QMC campuses.

 The successful candidate must be an effective team player and be able to demonstrate the ability to deal with sometimes difficult situations, and cope well under pressure. Prior customer service and finance experience is therefore a must.

Experience

Essential criteria
  • • Experience in using MS office applications
  • • Proven NHS experience and knowledge of medical hierarchy.
  • Proven secretarial & administrative experience
Desirable criteria
  • • Good existing relationships already built up with NHS colleagues within this Trust or other Trusts
  • • Experience in the setting up of AV equipment
  • • Medical terminology

Communication

Essential criteria
  • Excellent communication skills and command of written and spoken English.
  • Experience of negotiating with NHS staff at all levels including Trust Directors, senior clinicians, junior doctors, internal departments and external organisations and Trusts.
  • Discretion in communication of sensitive and confidential information
  • Listening skills requiring sensitivity and confidentiality.
Desirable criteria
  • Is open to suggestions, ideas & new working practices within a team

Analytical

Essential criteria
  • • Exercise initiative and sensitivity when dealing with clients, junior doctors, senior clinicians and managers.
  • • Use problem solving and analytical skills when working on difficult projects e.g. doctors in training Foundation Programme and Deanery matching scheme/rotations.
Desirable criteria
  • Worked on similar schemes in the past which require strong time management skills to be able to work to deadlines and targets

Planning

Essential criteria
  • Diary management, meeting preparation, filing system management,.
  • Evidence of personal development relevant to the post

Physical

Essential criteria
  • Frequent use of keyboard and VDU equipment
  • • Fitness level enabling furniture moving if required
