Job overview

This is an exciting opportunity to join a newly established Contract Management Team and play an important supporting role in how procurement contract management is embedded across the Trust.

The post holder will provide essential administrative and data support to the contract management function, maintaining accurate contract records and assisting with the preparation of reports, meeting papers, and documentation. Working closely with senior colleagues, the role supports contract variations, procurement and contracting activities, and the collation of performance, activity, and financial data to aid effective contract monitoring.

The role will also work collaboratively across organisational boundaries, supporting partnership arrangements and providing oversight of selected contractual relationships delivered in conjunction with, or on behalf of, other NHS organisations.

With a strong focus on governance and organisation, the role ensures compliance with Trust procedures, audit requirements, confidentiality, and data protection standards. The post-holder will build positive working relationships with colleagues and suppliers, support meetings and communications, and contribute to the development of efficient team processes while engaging in ongoing learning and development.

The Contract Administrator will provide clerical and administrative support to the Contract Management team at Nottingham University Hospitals NHS Trust. The postholder will ensure effective maintenance of contract documentation, accurate data entry, and provide administrative support for contract monitoring, governance, and reporting processes. This role will support senior colleagues in ensuring efficient contract management services are delivered across the Trust.

Detailed job description and main responsibilities

Key Job Responsibilities

Contract Administration and Support

  1. Maintain accurate and up-to-date electronic and paper records of contracts and supporting documentation in line with Trust governance requirements.
  2. Provide administrative support for the preparation of reports, meeting papers, and presentations relating to contract management.
  3. Assist in the processing of contract variations under supervision of senior colleagues.
  4. Provide administrative support for procurement and contracting exercises as directed by senior colleagues.

Data and Reporting

  1. Support the collation and input of data relating to contract performance, activity, and finance, ensuring compliance with procurement regulations.
  2. Support senior colleagues with producing accurate data and reports for contract monitoring purposes.

Governance and Compliance

  1. Ensure confidentiality and data protection standards are maintained at all times.
  2. Demonstrate a commitment to equality, diversity, and inclusion in all aspects of the role.
  3. Contribute to maintaining compliance with Trust procedures and audit requirements through accurate record-keeping.

Communication and Stakeholder Engagement

  1. Schedule and support meetings, including preparing agendas, taking minutes, and tracking agreed actions.
  2. Respond to routine queries from internal staff and external suppliers, escalating more complex issues where appropriate.
  3. Liaise with colleagues and stakeholders in a professional and helpful manner.

  1. Contribute to the development of efficient office systems and processes within the contracting team.
  2. Work collaboratively with colleagues to support the delivery of team objectives.

Line Management

  1. This role has no line management responsibilities.

 

Working Conditions

  1. The post holder will primarily be office-based with extensive use of visual display units (VDUs) and other IT systems for prolonged periods. Hybrid working arrangements apply, with an expectation of working flexibly on-site at two days per week. The role requires sustained concentration when reviewing detailed data, contracts, and reports, as well as frequent use of email, and virtual meeting platforms. Occasional travel to Trust sites or external meetings will be required. The postholder will be required to manage competing priorities and deadlines.

Training & Qualifications

Essential criteria
  • GCSEs (or equivalent) including English and Maths OR equivalent experience in an administrative setting.
  • A Levels (or equivalent) or equivalent experience in an administrative setting.

Experience

  • Experience supporting meetings (agendas, minutes, action tracking)
  • Experience of maintaining records and filing systems

Communication and Relationship Skills

  • Good written and verbal communication skills
