Job overview

An exciting opportunity has arisen for someone to join the Community Childrens' and Young Peoples' Service (CCYPS) to support the Childrens' Community Nursing teams in the role of SPA Call Handler and Administrator. 

This is a part time 30 hour per week post which is based at the Children's Development Centre at Nottingham City Hospital campus.

Please note that this post does not meet the pay level required for a Skilled Worker Visa.

Successful applicants with no prior NHS experience would normally be placed at the bottom of the band in line with Agenda for Change. This salary is below the minimum salary required for sponsorship for a Skilled Worker / Health & Care visa. In these circumstances the Trust would not, therefore, be able to sponsor for a Skilled Worker / Health & Care visa.

Main duties of the job

As part of the Admin & Clerical team the post holder will provide an effective Single Point of Access Service for the community services provided by CHP, working within a team receiving and processing referrals from a range of agencies (GPs, Acute Hospitals, Education, CHP colleagues, other colleagues in the health and social care community)

To facilitate effective communication and liaison across professional and organisational boundaries the post holder will process the referrals through decision making and signposting service users/professionals into the appropriate service area ensuring equality of access across the full range of services. 

Please note applicants will be required to pay for their DBS check. Costs are deducted from salary following appointment. The cost of the DBS application is £26.40 (standard) or £54.40 (enhanced), this cost will be deducted from your salary over the first 2 months of employment. 

You are encouraged to enrol for the DBS Update Service. An annual fee of £16 per year applies.

Detailed job description and main responsibilities

To be responsible for processing all incoming referrals to the SPA, dealing with queries, taking detailed messages and responding or referring them to the relevant member of the multi disciplinary team in a timely manner as defined in the agreed referral management protocols.

To ensure that service users/patients are directed to appropriate community assessment support services who will respond accordingly.

To use communication skills effectively to enable referrers to explain needs and the assistance required.  To be sensitive to their feelings and to respect wishes whenever possible.

To register referrals and, where appropriate, signpost other services and agencies. To seek advice and guidance of the line manager/duty clinician if appropriate services are not available.

To ensure that all referral documentation contains appropriate and relevant information to assist the clinicians. 

To be responsible for data input in electronic and paper clinical records to support the regular flow of information between SPA, clinical teams and other partner agencies/departments as required. 

To ensure that electronic systems are kept up to date at all times by entering and amending patient admissions, discharges and other details onto the computer database as required to allow audit and review information and relevant reports to be produced as required.

To contribute to the provision of administration services to the children and young people teams ensuring that the workload is prioritised and efficiently managed. 

To ensure that communications with other health care professionals are managed in accordance with local and Trust Policy.

To support clinicians in collating patient information in preparation for Multi-Disciplinary Team meetings.

 

Person specification

Qualifications

Essential criteria
  • English GCSE or equivalent
  • Maths GCSE or equivalant
Desirable criteria
  • NVQ level 3 in administration

Experience

Essential criteria
  • Experience of office working and administration systems, to include Microsoft Office including Word and Excel
  • Experience of working in a customer care setting
  • Experience of telephone work
Desirable criteria
  • Experience of using SystmOne
  • Experience of working within a healthcare environment

Knowledge

Essential criteria
  • Knowledge of customer service
  • Knowledge of procedures, associated systems, administration and community service provision acquired through experience and training
  • Awareness of issues of confidentiality in accordance with Trust policy and necessary discretion.
