Job overview

A unique and exciting opportunity has arisen for an exceptional individual to be appointed as a permanent Band 5 Member Support Administrator.

 

This role will suit a self-motivated individual who can work under their own initiative under general oversight and direction from the line manager, and display a high level of tact, diplomacy and emotional intelligence

This role will require collaborative working with a range of stakeholders internal and external, though primarily with REC officers and members and staff from Approval Operations.

 

The post-holder will be required to undertake significant levels of routine administrative procedures with a high level of attention to detail and accuracy.

Main duties of the job

The key duties as follows:

 

·     Receiving and managing sensitive and confidential personal information relating to applications for Research Ethics Committee membership and the payment of expenses to volunteer members.

 

·       Liaising with Research Ethics Committee officers, Health and Care Research Wales and Health Research Authority staff relating to interview panels.

 

·       Communicating with operations staff, volunteer members and officers in relation to booking travel, venues and catering as required.

 

·       Liaising with finance team, members and officers regarding expenses

 

·       Keeping a strong customer service focus at all times

 

·       Attention to detail in the preparation and booking of meeting rooms and events including setting up of VC equipment on behalf of office staff, volunteer members and external stakeholders

 

·       Experience in using all Microsoft packages to varying degrees and ability to learn new systems proficiently

  • Degree-level qualification or evidenced ability to work at a similar intellectual level

Knowledge

  • Ability to take accurate minutes to reflect the discussion and decisions taken.
  • Excellent organisational skills with the ability to prioritise against a background of change and frequently changing demands
  • Strong communication and influencing skills at all levels. Ability to communicate complex information in a diplomatic and effective manner
  • Advanced use of all MS Office packages, (e.g. Excel, Word, PowerPoint, Internet and Outlook

Experience

Essential criteria
  • Experience of liaising and negotiating effectively with internal and external agencies, at all staff levels within an organisation
  • Significant experience of handling and managing confidential information
