Job overview

We are looking for a MCSI Therapies Administration Assistant. 

The post holder will provide secretarial and administrative support to the Midland Centre for Spinal Injuries Therapy Team to assist with the rehabilitation of patients, the discharge process and on-going issues post discharge. 

Main duties of the job

To assist the team lead in implementation and maintenance of E-Roster

Produce Reports/correspondence using Big Hand 

Updating DTOC with delayed discharge information         

Assist with projects (eg electronic timetabling) within the department

To set up new case notes, provide core data and establish contact details of responsible Social Services Departments, wheelchair services and CCG.

Chase referrals for wheelchairs and cushions, shower chairs, respiratory equipment, standing equipment and Community Therapy.

To follow up referral to Social Services to ensure allocation of named OT and arrange access visit. 

To notify the community therapy team (PT, COT, wheelchair services, respiratory services), of patient discharge. 

To notify the Community OT of access visits. 

To work closely and effectively with the Therapy Team in order to support communication throughout the service, take messages and relay information. 

To maintain an effective Therapy Office Environment and systems including patient timetabling. 

To enter patient contact activity onto Lorenzo on behalf of the Therapy Team. 

At the request of the Therapy Service Manager the post holder will provide support and cross cover to the administrative team in the therapies department.

Detailed job description and main responsibilities

MAIN DUTIES AND RESPONSIBILITIES 

1. To provide secretarial and administrative support to the MCSI Therapy Team.
2. Ensuring Statutory & Mandatory Training is up to date and book accordingly
3. Dissemination of information to the Team
4. Recording Annual Leave and Sickness
5. Taking dictation via shorthand
6. To assist the team lead in implementation and maintenance of E-Roster
7. Produce Reports/correspondence using Big Hand
8. Updating DTOC with delayed discharge information
9. Assist with projects (eg electronic timetabling) within the department
10. To set up new case notes, provide core data and establish contact details of responsible Social Services Departments, wheelchair services and CCG.

16. On instruction from the Therapist, to liaise with local Wheelchair Services. To follow up applications (by telephone or e-mail ) if there is no sign of progress. 
17. To manage own time effectively to meet service objectives, prioritising work according to the demands of the service. 
18. To maintain an effective Therapy Office Environment and systems including patient timetabling. 
19. To enter patient contact activity onto Lorenzo on behalf of the Therapy Team. 
20. At the request of the Therapy Service Manager the post holder will provide support and cross 
cover to the administrative team in the therapies department.


COMMUNICATION/WORKING RELATIONSHIPS 

1. To work closely with the Therapy Team throughout all stages of the rehabilitation process. 
2. To establish and maintain effective exchange of patient information between Midland Centre for 
Spinal Injuries (MCSI), and community colleagues, maintaining confidentiality. 
3. To protect all confidential information concerning patients, only making disclosures with the 
patient consent. 
4. To discuss in a sensitive manner, information which may cause emotional distress. 
5. To maintain clear and accurate records in patient’s therapy notes of the service activity in order 
to monitor working practices. 
6. To maintain clear and accurate records of telephone communications and referrals/applications 
made. 
7. To ensure accurate information about patients on hospital computer systems. 

PROFESSIONAL RESPONSIBILITIES

1. To be responsible for maintaining own competency through continuing professional 
development, maintaining a portfolio which reflects personal developments. 
2. To be aware of and adhere to Trust and MCSI policies, procedures and guidelines.

development programmes. 
5. To attend relevant courses and study days to support best working practice, and keep abreast 
of current legislation and practice development.

7. Working as part of the multidisciplinary team, assist in development and implementation of 
clinical audit and outcome measures within the centre. To participate in the MCSI in service training 
programme. 
8. To adhere to the principles of clinical governance.

Person specification

Qualifications/Training

Essential criteria
  • Secretarial skills, RSA 3 or NVQ 3 Business Administration
  • ECDL or equivalent qualification/ experience

Experience

Essential criteria
  • Experience of working in an office/administration environment in secretarial or similar role
Desirable criteria
  • Experience working within the NHS or a community care setting

Skills and Competencies
