Job overview

We’re looking for a proactive and highly organised individual to join our welcoming team in the Paediatric Department looking after sub-specialties cardiology and general paediatrics. In this role, you’ll work closely with an experienced Medical Secretary Team, providing vital administrative support in a fast-paced and dynamic environment. This is a great opportunity for someone who enjoys variety, teamwork, and making a real difference in the smooth running of our services.

You’ll be working alongside a supportive and enthusiastic team, liaising with colleagues across all levels. Strong administrative skills, the ability to manage competing priorities, and a proactive, flexible approach are essential. You’ll be expected to maintain high standards of accuracy and confidentiality in all aspects of your work.

Main duties of the job

In this key role, you will:

  • Provide a complete medical administrative service including Referral to Treatment (RTT), patient correspondence and editing and formatting letters.
  • Liaising with Nurses, Doctors and other members of the multidisciplinary team including inpatient and outpatient bookings teams to provide a quality service for the patients.
  • Working as part of a team, sharing responsibility for the smooth running of the administrative service to deliver safe patient care
  • To provide a first point of contact, answering all telephone enquiries, taking and relaying messages in a polite and helpful manner, and using own judgement to establish the priority of issues and taking action as appropriate.

Qualifications

Essential criteria
  • Excellent standard of written and spoken English. Minimum level of GCSE English, Grade C or above.
Desirable criteria
  • Audio typing qualifications at RSA Level 3 or equivalent experience. Proven audio typing speed of 50wpm.

Experience

Essential criteria
  • Knowledge of office and administrative processes.
Desirable criteria
  • Previous experience in the NHS or similar healthcare-based environment.

Specific Skills

Essential criteria
  • Computer literate in Microsoft software: Word, Excel, Outlook, Adobe, Internet Explorer, Google Chrome, etc.
  • Ability to prioritise and organise workload effectively. Be flexible to changing situations ie cross-covering when other secretarial staff on leave.
Desirable criteria
  • To produce work of a high standard with attention to detail.
