Job overview

We are recruiting a Pharmacy Administrative Assistant (Band 3) who will play an essential role in supporting our Senior Leadership Team and wider pharmacy workforce. While you may not be directly involved in clinical care, you will be at the heart of a busy, fast‑moving department where your work underpins almost everything we do.

This role is ideal for someone who wants variety, purpose, and the opportunity to be part of a supportive, collaborative, and genuinely friendly team.

Your professionalism and warmth set the tone for everyone who contacts Pharmacy, patients, visitors, and staff alike. You’ll be helping to build a positive experience for others. When a meeting runs smoothly, a rota is resolved, a patient’s query is answered quickly, or a major project moves forward because of your organisation, you’ll know your work made that possible.

Main duties of the job

  • Provide administrative and secretarial support to the Pharmacy Senior Leadership Team.
  • Act as a central point of contact for patients, staff, and external agencies.
  • Arrange meetings, prepare papers, and take accurate minutes.
  • Manage diaries, correspondence, and electronic/paper filing systems.
  • Support governance, training, induction processes, and departmental events.
  • Handle data entry, database management, invoices, and procurement tasks.
  • Coordinate rotas, annual leave forms, and key departmental communications.
  • Work collaboratively with the admin team to ensure smooth day‑to‑day operations.

Detailed job description and main responsibilities

  • You have at least one year of administrative or secretarial experience. 
  • You are confident using Microsoft Office, especially Word, Outlook and Excel. 
  • You can communicate sensitively and professionally with patients, staff, and partners.
  • You are well organised and can prioritise competing tasks. 
  • You take pride in producing accurate, high‑quality work.
  • You work effectively both independently and as part of a team. 
  • You enjoy problem‑solving and know when to use your initiative.

Person specification

Knowledge

Essential criteria
  • Proficient in Microsoft Office (Word, Outlook, Excel) with accurate typing and strong organisational skills.
  • Effective communication skills, able to liaise professionally with staff, patients, and external agencies.

Experience

Essential criteria
  • Minimum 1 year administrative/secretarial experience in a busy office environment.
  • Ability to prioritise workload, work independently, and produce accurate work with good attention to detail.
