The Division of Medicine would like to invite applications for the B2 Clinical Admin Assistant post based at Doncaster Royal Infirmary with some cross site working.

This exciting opportunity is a permanent, part time (15 hours  Tuesday & Wednesday only) position, supporting the Division of Medicine Team Leaders with the management of 2 Week Wait and post MDT patient pathways.

The post holder will work flexibly across the Division to provide a 2 Week Wait and Post MDT booking service, supporting with clinic changes, processing of referrals and undertaking a range of general admin tasks as and when required.

Previous experience of working in a clerical administrative role is essential, although full training on systems and processes will be provided.  You will be required to display tact and diplomacy where appropriate and demonstrate a flexible approach to working within a Team environment and have well developed communication skills when dealing with staff, patients, colleagues and the general public.

Main duties of the job

Liaise as appropriate with clinicians and clinical admin teams to ensure correct recording of patient pathways.
Provide an outpatient booking service for 2WW and post MDT patients, using agreed processes to ensure effective use of clinic capacity in accordance with national/local/clinically instructed waiting times
Proactively monitor waiting lists to ensure patients are appointed in line with clinical instruction/national/local waiting times, escalating where capacity does not allow.
Allow early opportunity to escalate capacity issues in accordance with SOP
Ensure appropriate administrative actions for activity outcomes in line with clinical instructions and SOPs; this includes accurate recording of Referral to Treatment (RTT) codes and system discharges.
Provide a professional, sensitive and courteous telephone service for appointment and pathway enquiries, acting in line with policy and associated SOPs.
To schedule appointments in line with clinical instructions and SOPs, liaising with other members of clinical administration teams and the booking team where appropriate.
Arrange patient transport and interpreters for outpatient appointments where appropriate.
Process all referrals received in accordance with Trust referral management guidelines/SOP.
Respond to appointment queries in a timely manner.

Qualifications/Training

Essential criteria
  • Minimum of 3 GCSE’s including English and Maths at Grade C or above or equivalent qualification or equivalent experience
  • OCR/RSA/NVQ Level II or completion of a Business and Administrative Level II apprenticeship or demonstrable equivalent qualification and experience in keyboard skills and typing or equivalent experience
Desirable criteria
  • EDCL or equivalent qualification

Knowledge and Experience

Essential criteria
  • Previous experience working in a clerical/administrative role
  • Demonstrable working knowledge of Microsoft packages including Word
  • Commitment to acquire & apply knowledge of RTT National and local waiting times rules
Desirable criteria
  • Previous hospital or NHS experience working in a clerical/administrative role
  • Knowledge and understanding of RTT National and local waiting time rules
