Job overview

The Active Recovery department are looking to recruit a new Team Administrative Support Assistant.

Active Recovery is a multi- disciplinary team providing clinical support and rehabilitation to patients at home. The focus of the team is to promote admission avoidance into hospital, facilitate early discharge from hospital and to provide an urgent response to patients that may be in crisis at home. Active Recovery is a city-wide service which operates 7 days a week, 365 days per year.

The post holder will be expected to communicate with a significant cross section of senior staff within STHFT, and external organisations, often dealing with confidential and urgent enquiries and correspondence.
Undertake any other duties which may be allocated within the general scope of the post and appropriate to the grade.

Main duties of the job

  • To provide efficient and effective administrative and clerical support to the Active Recovery Team, including Operational Shift Coordinators, Clinical leads, assessors & other members of the wider Active Recovery Team.
  • To receive incoming telephone calls in a confident, efficient and confidential manner
  • To receive telephone calls from patients who require information and visits from the service and to ensure that the patients’ messages are accurate and taken promptly in a courteous manner at all times
  • Undertake administration functions for the department, such as data input, photocopying, and any other duties deemed necessary.
  • Demonstrate independent working in an environment that can be fast paced with rapid changes requiring prioritising of own workload and appropriate escalation to a supervisor.

Qualifications

Essential criteria
  • GCSE at Grade C/4 in English and Maths (or equivalent qualifications) or equivalent experience
Desirable criteria
  • NVQ Level II in Business Administration / Customer Service / IT

Experience

Essential criteria
  • Experience of working within an office environment
  • Experience of working in a public facing role.
Desirable criteria
  • Relevant experience within the NHS

Further Training

Essential criteria
  • Knowledge of / experience of using information and/or customer service systems.
  • Working knowledge of Microsoft Office packages including Outlook, Excel and Word.
Desirable criteria
  • Previous experience Infoflex / 59R Software
  • Previous experience of PAS / Infoflex / SystmOne (area specific software)

Skills and Knowledge

Essential criteria
  • Understanding of data protection issues and the ability to maintain confidentiality
  • Excellent communication skills, with ability to deal with staff at all levels.
