We are looking for an experienced and highly motivated Personal Assistant/ Administrator to support City-Wide Services within the Therapeutics and Palliative Care Directorate. The role includes diary management, coordinating events, database maintenance, and general administrative duties, and will support clinical and non-clinical teams to deliver the best care to patients.

The new post holder will work closely with a friendly and supportive team, including clinicians, managers, and other PAs within the Directorate. Experience in a Healthcare setting is not essential but would be an advantage. You will demonstrate strong team working skills, a collaborative approach, a passion for people in this diverse role. Previous personal assistant experience, administrative processes would be highly desirable.

Main duties of the job

To provide comprehensive, flexible, and confidential administrative support to multiple services within the Therapeutics and Palliative Care directorate, including City-Wide Services.

To provide a full range of personal assistant duties to multiple services within the Therapeutics and Palliative Care directorate.

To work collaboratively with other members of the Therapeutics and Care administrative team, ensuring cross-cover and coordination across the directorate.

Education & Qulaifications

Essential criteria
  • GCSE level A to C (4-9) in English or equivalent
  • OCR Stage III Word Processing or relevant PA qualification

Experience

Essential criteria
  • Experience of minute taking within meetings of varying purpose and seniority level.
  • Good knowledge and experience of administrative and secretarial procedures within a large, complex, organisation
  • Experience of working with a range of Microsoft Office packages (e.g., Word, Excel, Outlook, Teams, and OneNote)
  • Experience of working with a variety of IT systems and databases
  • Experience of working in a busy environment
  • Experience of diary management
  • Experience of administratively coordinating training events and conferences
Desirable criteria
  • Experience of working within an NHS environment

Skills & Knowledge

Essential criteria
  • Excellent verbal communication skills in virtual, telephone, and face-to-face contexts, and with colleagues of all backgrounds
  • Excellent written communication skills, with the ability to present written information in a clear manner, demonstrating attention to detail
  • Excellent organisational skills and the ability to multitask and prioritise workload to meet deadlines
  • Experience of producing reports for use by colleagues throughout the organisation
