An exciting opportunity has arisen for a motivated and well organised individual to join our Clerical Administrative Team in the Musculoskeletal Service at the Northern General Hospital. 

The post holder will ensure that designated clinical services are supported by an efficient and effective administrative system, including reception and clerical support.

Also, they will need to provide exceptional reception and clerical support to the Administration Team in MSK in order to deliver a comprehensive and efficient service within a department that covers Diagnostics, Trauma, Outpatient and Elective Surgery.

The post will be based in the Hand Centre and Podiatric Surgery Services

Main duties of the job

 

  • Provide an efficient reception service, greeting patients, public and all visitors as they arrive, dealing with enquiries promptly, taking action as necessary and directing patients/relatives carers accordingly
  • Provide a comprehensive clerical service to the department, undertaking all relevant work related tasks including retrieval, preparation of notes for clinics and filing of patient information/data, arranging transport, booking/cancelling/rescheduling appointments, ensuring utilisation of all clinics, correspondence, photocopying, emailing and answering telephone calls efficiently and professionally in line with the organisation’s PROUD values.
  • Maintain systems and processes to ensure that patient information/data is available at the right time, that they are in the right place, and that they are complete and accurate according to the agreed quality standard.

Qualifications

Essential criteria
  • GCSE at Grade C/4 in English and Maths (or equivalent qualifications) or equivalent work experience
Desirable criteria
  • NVQ Level II in Business Administration / Customer Service / IT

Experience

Essential criteria
  • Experience of working within an office environment
  • Experience of working in a public facing role.
Desirable criteria
  • Relevant experience within the NHS

Further Training

Essential criteria
  • Knowledge of / experience of using information and/or customer service systems.
  • Working knowledge of Microsoft Office packages including Outlook, Excel and Word.
Desirable criteria
  • Previous experience Infoflex / 59R Software
  • Previous experience of PAS / Infoflex / SystmOne (area specific software)

Special Skills/Aptitudes

Essential criteria
  • Understanding of data protection issues and the ability to maintain confidentiality
  • Excellent communication skills, with ability to deal with staff at all levels.
