We’re looking for a proactive and motivated person to join our team, to deliver first class personal assistant support to our recently appointed Chief Finance Officer at Sheffield Teaching Hospitals NHS Foundation Trust.

You must be able to use your own initiative and judgement and enjoy working in a fast paced environment. The role requires you to have great communication skills and be experienced in using the Microsoft Office suite. You must be resilient and able to react calmly when dealing with multiple tasks that need to be delivered within tight timeframes.

Main duties of the job

  • Day-to-day, you’ll be responsible for supporting the Chief Finance Officer and their team.
  • You will use your knowledge and independent judgement to deliver an efficient, confidential, and comprehensive personal assistant service.
  • To provide the first point of contact for the Chief Finance Officer’s Office exercising judgement as to the appropriate response, taking immediate action if necessary. This will require you to deal with complex enquiries in a professional and sensitive manner, always ensuring confidentiality.
  • Using judgement to manage the diary of the Chief Finance Officer and in collaboration with the Finance Admin Team, the diaries of the Deputy Chief Finance Officers. Arranging meetings, coordinating, and prioritising appointments, resolving areas of conflict and ensuring there is effective communication to all relevant parties.

Education and Qualifications

Essential criteria
  • Five GCSEs at Grade 4 or above including English Language and Mathematics
  • NVQ Level 4 in Business Administration or equivalent experience

Skills and Knowledge

Essential criteria
  • Ability to demonstrate excellent written and verbal communication skills
  • Ability to demonstrate excellent minute taking skills
  • Ability to demonstrate comprehensive IT skills.
  • Significant knowledge of Microsoft Office software including Outlook, Word, PowerPoint, Excel, and Forms
  • Ability to demonstrate excellent planning and organisational skills
  • Ability to plan and prioritise work to meet deadlines
  • Ability to work independently, use initiative and apply judgement and discretion when appropriate
  • Ability to operate as part of a team
Desirable criteria
  • Ability to demonstrate a forensic attention to detail and ability to follow procedures and processes
  • Knowledge of how the NHS operates

Experience

Essential criteria
  • Extensive and demonstrable experience of working as a personal assistant at director level or equivalent relevant experience in another administrative role
  • Demonstrable experience of using Microsoft Outlook for diary and email management
  • Demonstrable experience of servicing meetings including preparing agendas, papers, taking minutes, recording and following up actions
  • Experience of working within a busy / pressurised office environment
  • Demonstrable experience of assisting or leading on projects
Desirable criteria
  • Experience of working within a complex and/or large organisation
  • Experience of working within an NHS setting
  • Experience in managing highly confidential and sensitive information
  • Demonstrable experience of supervision or line management responsibilities
