Job overview

An exciting opportunity has arisen within the Quality Governance Team for an enthusiastic, hardworking and self-motivated individual to join us as a personal assistant.  The successful candidate will provide an efficient, comprehensive and highly confidential administrative and secretarial service to the Head and Deputy Head of Quality Governance.

We are looking for someone who is proactive, flexible and able to prioritise to meet the demands of this role.

This post offers the opportunity for hybrid working, with a mix of work on-site and from home in line with role and team requirements.

Main duties of the job

  • To provide a comprehensive and confidential administrative and secretarial service to the Head and Deputy Head of Quality Governance including the production, to a high standard, of correspondence, reports and presentation material.
  • To act as the first point of contact for and have responsibility for manging the diaries of the Head and Deputy Head of Quality Governance dealing with initial enquiries exercising judgement and discretion and making decisions as necessary.
  • Undertake complex administrative tasks that require the gathering, analysis and presentation of information, identification of problems and provision of solution, for example, the agreement of the agenda and collation of papers for senior level committees.
  • Take, transcribe and distribute minutes for both formal and informal meetings, following up action points as agreed.

Education and Qualifications

Essential criteria
  • GCSE English and Maths at Grade C or above or equivalent experience
  • OCR Word Processing III or equivalent qualification/experience
  • Accredited qualification in Microsoft applications e.g. Excel, Access

Experience

Essential criteria
  • Relevant experience of secretarial, administrative and office practices within a large complex organisation
  • Relevant experience in a senior secretarial /personal assistant role working with senior Managers
  • Minute taking
  • Diary management
  • Experience of Microsoft applications e.g. Outlook, Word, PowerPoint, and Excel
Desirable criteria
  • Maintaining Electronic Staff Records database

Skills and Knowledge

Essential criteria
  • Ability to communicate clearly at all levels in writing, verbally and face to face
  • Good organisational skills and ability to work to deadlines.
  • Ability to work with competing demands/prioritise
