Our service is expanding and we are offering an exciting opportunity to support Staffordshire and Stoke on Trent Urgent Care needs. We are looking for Administrators to join our Integrated Care Coordination for Urgent Care service based in Hanley, Stoke-on-Trent to provide administration support and receive and action referrals.
The primary aim of the Integrated Care Coordination (ICC) for Urgent Care is to be a single point of access to support patients to remain in their own home to prevent unnecessary admission to acute care and to facilitate collaborative Multidisciplinary Team (MDT) management for patients closer to home.
You will play an integral part of the team by providing effective and efficient call handling, You should be highly skilled in administration and demonstrate keen self-management skills to enable them to provide an effective and efficient high-quality service.
You will provide a varied range of administrative duties and act as a focal point for communication and contribute to achieving key objectives and outcomes of the service.
You will be required to cover the 7 day period, 365 days and therefore weekend and out of hours working is required.
Main duties of the job
You will be dealing with referrals from GP’s, WMAS, Health Care Professionals, Social Care Practitioners, and other professionals by telephone or other electronic formats and providing non-clinical advice, information and guidance to healthcare professionals and social care practitioners, to deal with all enquiries and communicate effectively on behalf of the Team.
Excellent interpersonal and communication skills (both written and verbal) are essential, as is an ability to organise and prioritise your workload and react quickly to changing situations.
Strong IT skills are vital so you should evidence your experience of using data basis and Microsoft Outlook, Excel and Word on you application.
As part of this role you will be expected to:
· Support with the preparation of all documentation, including agendas, and minuting meetings.
· To collect and input statistical information as required and ensure that reports are delivered within timescales.
· Making bookings and cancellations e.g. training places, rooms and interpreters.
· Receive, sort and distribute internal and external mail, ensuring that important and sensitive information is brought to an appropriate person’s attention in a timely manner.
· Validating data from clinical systems to ensure high levels of data quality
· Contribute to the collection and inputting of data required to support the outcomes for the service, including maintaining of spread sheets/databases where required

Essential criteria
- Good standard of general education including English and Maths at GCSE Grade C or equivalent or Functional skills (English and Maths) Level 2
- RSA Stage III Word Processing / Text Processing or equivalent
- ECDL/CLAIT IT qualification or equivalent
Desirable criteria
- NVQ/ Level 3 Business administration
Experience
Essential criteria
- Relevant experience in administration support role including dealing with telephone enquiries / referrals in a timely manner
- Previous experience of data input
- Demonstrable ability to manage time effectively
Desirable criteria
- Experience of using Rio
- Experience of dealing with sensitive/distressing issues
- Administrative experience of working in a healthcare service
- Previous Call handler or equivalent experience
