We are pleased to offer an opportunity to join our service as a Team Administrator for Stafford MHST, working alongside an experienced administrative team within a busy and supportive environment.

As a key member of the team, you will provide comprehensive administrative support to clinical staff & ensure the smooth day-to-day running of the service.  Main duties will include:

  • Answering & managing telephone enquiries

  • Booking & coordinating appointments

  • Processing referrals in a timely & accurate manner

  • Typing, formatting & distributing confidential clinic letters & reports

  • Liaising with external agencies & stakeholders

  • Working together with other admin colleagues in the Service to support day to day delivery.

Main duties of the job

To provide general administrative services to support the smooth running of clinical services including:

  • Supporting with the preparation of all documentation, including agendas, circulating papers and minuting meetings
  • Typing letters and reports 
  • To collect and input statistical information as required and ensure that reports where requested are delivered within timescales.
  • Making bookings and cancellations e.g. training places, rooms and interpreters.
  • Receive, sort and distribute internal and external mail, ensuring that important and sensitive information is brought to an appropriate person’s attention in a timely manner.
  • Supporting diary management of an individual or individuals (arranging meetings etc)
  • Monitoring of an individual or team inbox
  • Arranging external meetings / events / conferences including sourcing venues, arranging purchase orders etc
  • Provide general non-clinical advice, information and guidance to children and young peoples, parents and other professionals, to deal with all enquiries and communicate effectively on behalf of the Team.
  • To deal professionally and promptly with telephone enquiries, taking and processing messages accurately and adhering to relevant policies and procedures.
  • Providing cover for other administrative colleagues during staff absence
  • Dealing with patient/public enquires about services - liaising with professionals where required and escalate as appropriate.

Detailed job description and main responsibilities

To be successful in this role, you will have:

  • A good standard of education, including English and Maths

  • RSA/NVQ Level 3 typing qualification or equivalent relevant experience

  • Strong IT skills, with proficient use of Microsoft Office packages including Word, Excel, Outlook & electronic calendars

  • The ability to work accurately with confidential information

  • Good organisational skills & the ability to manage a varied workload

Regular VDU use is required for this post. Experience or knowledge of the NHS RiO system is desirable; however, full training will be provided where necessary.

Qualifications

Essential criteria
  • Good standard of general education including English and Maths at GCSE Grade C or equivalent or Functional skills (English and Maths) Level 2
  • RSA Stage III Word Processing / Text Processing or equivalent
  • ECDL/CLAIT IT qualification or equivalent
Desirable criteria
  • NVQ/ Level 3 Business administration
  • Audio typing experience

Experience

Essential criteria
  • Relevant experience in administration support role including dealing with telephone enquiries in a timely manner
  • Experience of dealing with sensitive/distressing issues
  • Previous experience of data input
Desirable criteria
  • Experience of using Rio
  • Experience of working in a children's service

Skills

Essential criteria
  • Experience of being able to prioritise workload in order to meet deadlines
  • Demonstrate a high level of communication skills, both written and verbal
  • Proficient in the use of Microsoft Office packages e.g. Word, Excel etc.
Desirable criteria
  • Evidence of supporting colleagues in an administration environment
