The post holder will provide high-quality administrative support to Children and Families Dietetics service, contributing to the effective delivery of clinical and non-clinical services across a range of children's health teams. Working independently and as part of a multidisciplinary team, they will ensure efficient administrative processes, maintain accurate records, coordinate appointments and meetings, and provide excellent customer service to children, young people, families, and partner agencies.

The role requires excellent organisational, communication and IT skills, with the ability to manage competing priorities, maintain confidentiality, and work flexibly to support service delivery. The post holder will contribute to the smooth running of the service by supporting clinical pathways, workforce administration, data quality, and continuous service improvement while adhering to Trust policies, procedures and safeguarding requirements.

Main duties of the job

  • Provide comprehensive administrative support to clinical teams, including managing referrals, appointments, diaries, meetings, correspondence, and patient records.
  • Maintain accurate information on electronic patient record systems and produce reports, statistics and documentation to support service performance and quality standards.
  • Act as a key point of contact for children, young people, families, carers and professionals, responding to enquiries professionally and escalating issues where appropriate.
  • Support workforce, finance and procurement processes, including training administration, purchase orders, stock control and rota administration.
  • Contribute to the effective running of the service by supporting audits, performance monitoring, data validation, service improvement initiatives and compliance with Trust policies, including safeguarding and information governance.
  • Work collaboratively with colleagues across Children's Services and partner organisations, providing cross-cover for administrative teams and contributing to the induction and development of new staff.

Qualifications

Essential criteria
  • GCSE Grade C or equivalent
  • Work/Text Processing Level III or equivalent
  • ECDL/CLAIT IT qualification or equivalent
Desirable criteria
  • NVQ Level III Business Administration
  • Audio typing experience
