Job overview
This post is for 15 hours per week to be worked from 08:00 to 16:00 on a Monday and Tuesday . Flexibility on working hours may be considered.
Rosemary Ward is a 33 bedded community assessment ward at Newmarket Hospital. Our team is in need of a highly motivated and positive individual to join us as a Ward Clerk.
The right candidate will have excellent interpersonal skills and be experienced in working with the public, as you will be communicating with; patients, relatives, carers and all levels of staff from different disciplines. This individual will be providing front of house services for the ward. NHS Knowledge and experience is desirable but not essential. Some training on our systems will be provided.
This role is essential for the efficient running of the ward from an administration and patient flow perspective; there will also be handling of confidential patient data. The ward clerk role is perfect for those with a desire to work in a hospital environment and to develop their skills and knowledge.

Main duties of the job
As the ward clerk the role and responsibilities are varied. The ward clerk will be expected to provide receptionist duties such as welcoming visitors and patients to the ward throughout the day.
Communication is a key element of role from face-to-face conversations to managing telephone calls and redirecting queries to the appropriate members of the team.
The ward clerk will be completing administrative duties such as utilising the ecare system, admitting, discharging and transferring patients in an efficient manner. The ward clerk will be expected to support the ward team with administrative tasks such as identifying shortfalls of stationary and ensuring adequate stock levels.
The ward clerk supports the ward manager with clerical tasks and for example, ensuring patients are completing the inpatient surveys for clinical audit purposes.
The ward clerk supports patients on discharge for instance by arranging hospital transport.
Supporting the care-coordinator in their role to update patient list on a daily basis and updating patient boards and maintaining up to date patient records.

Education and Qualifications
Essential criteria
- GCSE English or Maths or equivalent at pass grade.
Desirable criteria
- RSA 1 or equivalent.
Experience and Knowledge
Essential criteria
- Awareness of Data Protection Act.
- Computer Literate.
Desirable criteria
- Experience as a Ward Clerk within the NHS.
- Knowledge of NHS administrative procedures.
