Deputy Office Manager - Breast Imaging

Job overview

We are looking for a highly organised, motivated and proactive individual with excellent administrative and IT skills to provide administrative and operational support to the Breast Imaging Department, ensuring the effective delivery of the Breast Screening Programme (NHSBSP) and symptomatic Breast Imaging services. The post holder will support the Office/Programme Manager in the day-to-day running of the service, staff development, and quality management, including IT system administration and reporting.

Main duties of the job

  • To support the Office/Programme Manager in the effective operational management and delivery of the Breast Screening Programme and symptomatic imaging services, deputising as required to ensure continuity of service.

  • To maintain, administer and develop departmental information systems and contribute to digital transformation and service improvement initiatives.

  • To support quality management processes, including acting as Deputy QMS Coordinator and ensuring work instructions are reviewed and maintained in accordance with agreed schedules.

  • To coordinate and deliver administrative support for breast screening and symptomatic pathways, working closely with the Breast Care Team to ensure safe and effective patient care.

  • To provide supervisory support to administrative staff, including training, appraisal and maintenance of professional standards.

  • To undertake a broad range of administrative duties, respond to departmental enquiries, represent the service at meetings, and contribute to the efficient and effective running of the department.

Education & Qualification

Essential criteria
  • Educated to GCSE level or equivalent, including English and Maths, or equivalent relevant experience
  • Willingness to undertake relevant post-holder training and continuing professional development
Desirable criteria
  • Formal administrative, IT or office management qualification

Experience

Essential criteria
  • Substantial experience of administrative work in a busy healthcare or office environment
  • Experience of supporting service delivery, managing workloads, and meeting deadlines
  • Experience of using multiple IT systems and databases accurately, including Word and Excel
  • Experience of supervising or supporting staff, including training, mentoring, or coordinating tasks
Desirable criteria
  • Experience of working in the NHS or healthcare setting with patient/client contact
  • Experience handling sensitive and confidential information

Knowledge & Skills

Essential criteria
  • Proficient in IT, including strong skills in Word and Excel
  • Strong organisational skills with the ability to prioritise work and manage competing demands
  • Understanding of confidentiality, data protection, and information governance in a healthcare setting
  • Effective written and verbal communication skills, including liaising with staff, patients, and multidisciplinary teams
  • Ability to follow procedures, maintain accurate records, and contribute to service improvement
Desirable criteria
  • An understanding of the NHS breast screening programme
  • Knowledge of cancer pathways and services
  • Experience using clinical administrative systems, eg. CRIS, E-Care, NBSS
  • Understanding of regulatory requirements, data protection and GDPR
