Job overview

Ward F6 have a great opportunity for an enthusiastic candidate to join our ward clerk team.

We are looking for someone who is organized, professional and motivated to provide efficient and timely support to our nursing and medical staff. Good communication skills are essential as the role involves problem solving, meeting and greeting patients and assisting with enquiries. The successful applicant will be proficient with the use of IT systems and have an interest in supporting a busy surgical ward.

STAFF CAR PARKING

Staff Car Parking on the West Suffolk Hospital Site is eligible for individuals working outside of the core hours, 07:00 – 18:30.

For individuals working within the core hours, the Trust offers parking off site at the Bury St Edmunds Rugby Club, which is serviced by a regular shuttle bus to and from the Hospital.  Details of the bus timetable can be found in the on-line starter pack on the West Suffolk Hospital website.

This parking restriction does not apply if an individual is required to work on a weekend or if they are required to complete “on call” duties within their role.

Main duties of the job

  • Communicating with patients, relatives, carers, remaining professional at all times
  • Communicating with Ward staff, external departments within the trust
  • Answering the telephone, dealing with enquiries and or referring to a trained/appropriate member of staff where appropriate
  • Provide reception duties welcoming patients and visitor to the ward
  • Collect and deliver items, for example medication, patient records or equipment within the trust as requested by clinical staff
  • Maintain accurate data entry including e-care and tracking and collection of notes
  • Request and lo work repairs via Smartline
  • Ensure medical notes are filed accurately and are available for staff reference
  • Maintain adequate stock levels of all stationary and identify any shortfalls so orders can be made
  • Maintain accurate bed state at all times updating bed board regularly
  • Arrange hospital transport as requested

Communication & Team Working

The postholder should:

  • Communicate with patients, relatives, carers and staff using a professional and sensitive manner to respond to a diverse range of enquiries
  • Maintain effective communication with Ward staff, external departments within the Trust and key stakeholders outside the Trust e.g. GP practices, utilising telephone and e-mail as appropriate
  • Answer the telephone in a polite and courteous manner, dealing with enquiries to a satisfactory conclusion or referring to a trained/appropriate member of staff where appropriate
  • Provide reception duties by welcoming patients and visitors to the ward/unit
  • Assist patients and relatives with directions through the hospital and escort to other departments when necessary
  • Collect and deliver items, for example, medication, patient records or equipment within the Trust as requested by clinical staff
  • Ensure the site clinical assistants are given accurate information relating to the bed state of the Ward when requested
  • Where appropriate under Nurse in charge or Doctors instructions to telephone the GP to advise of the patient’s death in hospital.
  • Attend and participate in ward meetings where appropriate.
  • To assist with providing cover at times of sickness or annual leave.

Person specification

Education and qualifications

Essential criteria
  • GCSE English or Maths or equivalent at pass grade
Desirable criteria
  • RSA 1 or equivalent
  • NVQ in Admin/Customer Care

Experience and knowledge

Essential criteria
  • Awareness of Data Protection Act
  • Computer Literate
  • Able to accurately input data
Desirable criteria
  • Experience as a Ward Clerk within the NHS
  • Knowledge of NHS administrative procedures
  • Previous clinical experience

Skills and abilities

  • Good organisational skills
  • Able to establish effective working partnership with members of the multidisciplinary team
  • Good written and verbal communication skills
