Job overview

We are seeking a part-time Administrator within our friendly Children’s Speech and Language Therapy Admin Ipswich base.

This role is vital in keeping our services running smoothly – co-ordinating daily operations, supporting our therapy team and ensuring our patients and families receive a seamless and compassionate experience.  If you thrive on organisation, enjoy working in a busy environment, and take pride in providing a high-quality administrative service this is the role for you. Teamwork is key, you will need to create good working relationships within the admin and wider team. If you are flexible, hardworking, resilient, people-orientated and have excellent administrative skills we would love to hear from you. Experience in an NHS administrative role is advantageous.  Occasional travel to Bury is required.

Main duties of the job

  • Actively support the day to day smooth and efficient running of the service
  • Maintain all aspects of the administration relating to staff management using ESR
  • Maintain and accurately record to a high standard all aspects of administration relating to patient care using SystmOne (including the management of appointments/waiting lists, and co-ordination of Education Health Care Plan Requests).
  • Provide excellent professional communication via varying methods to all service users.
  • Work both as a team and independently, managing workloads and prioritising multiple workstreams.
  • Provide supervision and assist with staff development for Administration Assistants
  • Assist with the organisation of IT access/equipment for new staff & students
  • Organise & minute meetings
  • Handle complex enquiries, complaints or issues and escalate where appropriate.
  • Create and maintain letter templates & spreadsheets using Microsoft Office Software

Education & Qualifications

Essential criteria
  • NVQ level 3 or equivalent experience in a relevant area of business or administration.
  • Microsoft Office skills and accurate keyboard skills.
  • Experience or qualifications in using Microsoft Word, Excel, PowerPoint.

Experience & Knowledge

Essential criteria
  • Good working knowledge of general office practices and procedures.
  • Administrative experience.
  • Good presentation skills both verbal and written.
  • Experience of prioritising own workload.
Desirable criteria
  • Previous NHS experience.
  • Knowledge of Electronic Patient Records Systems, preferably SystmOne.
  • Knowledge of ESR / Health Roster.
  • Experience of managing staff e.g. 1 to 1s / appraisals.
