Job overview

An exciting opportunity has arisen for a proactive and organised Administrator (Band 4) to join the NIHR Research Delivery Network (RDN) South East team.

You will be instrumental in providing comprehensive administrative support to the directorate team across the RRDN South East, contributing to the effective and efficient delivery of funded health and social care research.

This is a chance to be part of the new NIHR Research Delivery Network, which is building on the successes of the former NIHR Clinical Research to support vital research across the health and care system in England.

The base for this role can be in one of three offices: Guildford, Falmer (Brighton), or Canterbury. Some cross site travel is required.

Main duties of the job

The purpose of this role is to  provide general administrative support to one of three RRDN Hubs. The post holder will be responsible for:

  • General Administrative support to one of the three RRDN South East Hubs
  • Diary management and organising meetings for operational or strategic directorate team and services creating documents, spreadsheets and presentations as required.
  • Developing and maintaining hub systems.
  • Finance Administration.
  • Administrative support for RRDN South East meetings.

Detailed job description and main responsibilities

The core purpose of this role is to provide general administrative support across the RDN and to be a key part of the strategic directorate team.

Key Responsibilities Include:

•    Administrative Support: Providing a full range of support to the Hub team, including creating documents, spreadsheets, and presentations, and assisting with reports.
•    Meeting and Event Coordination: Diary management for the directorate team, arranging meetings (sourcing venues, preparing papers, taking and disseminating minutes/actions). This includes forward planning for meetings and coordinating events and training programmes (booking venues/catering, managing delegates, creating booking sheets, and collating feedback).
•    Systems and Finance: Developing and maintaining hub systems. Setting up and maintaining systems and databases, utilising the NIHR Hub (including Gmail and Google Drive). Finance administration including collation and maintenance of financial records, and managing the RRDN purchase order process in line with Host processes.
•    Organisational Duties: Taking responsibility for ordering stationery and office supplies. Maintaining efficient filing and tracking systems to ensure continuity of service.

Qualifications

Essential criteria
  • Good general standard o education to GCSE A level or equivalent including English
  • RSA II or equivalent in typing/proficient in keyboard skills and audio typing
  • Office administration qualification or equivalent

Knowledge

Essential criteria
  • Working knowledge of a range of software packages e.g. Microsoft Word, Excel, Access and Powerpoint
  • Experience of organising meetings
  • Experience of working in busy environment
  • Experience of creating and using administration system
  • Knowledge of information governance
Desirable criteria
  • Experience of organising training programmes
  • Knowledge of NHS and research priorities and understanding of the guidelines and targets in own area of work
  • Experience in an NHS administration
