Job overview

We are excited to offer an opportunity for a Band 3 Clinical Admin Officer to join our friendly and dedicated Paediatrics team at  Frimley Park Hospital to work  37.5 hours per week on a permanent contract. 

This is a rewarding role where you’ll work closely with consultants and their multidisciplinary teams, playing a key part in supporting the delivery of high-quality patient care. We’re looking for someone with strong administrative experience, a proactive mindset, and a positive attitude towards change and improvement.

Main duties of the job

  • To provide an administrative service to the Department
  • To plan and organise own work schedule with the use of appropriate planning aids, demonstrating good time management and ensure anticipated difficulties in meeting deadlines are promptly reported.
  •  Deal with Consultants requests for actioning urgent correspondence, medico-legal reports and any other appropriate adhoc correspondence requested in line with the Trusts policies and procedures
  • To obtain and organise information in support of own work activities, maintain confidentiality in accordance with organisation procedures.
  • Answer queries from colleagues, GP’s and patients in a timely and professional manner.
  • To ensure that secure systems are in place for the storage of all resources including computerised information.
  • Scanning and uploading relevant patient medical documents into the Trust’s Electronic Patient Record system.
  • To assist clinicians with sending letters using Epic where incomplete patient information e.g. address or where attachments need to be included.
  • To ensure all phone calls are dealt with in a professional and timely manner adhering to the local targets set by the department and Trust
  • To operate the various IT systems used to fulfil the role/department requirements.

Qualifications

Essential criteria
  • Good education to GCSE standard or equivalent experience
  • ECDL or equivalent
  • NVQ Level 3 Administration or equivalent practical knowledge.

Experience

Essential criteria
  • Experience of working in an office environment
  • Experience of working within a team environment
Desirable criteria
  • Working in the NHS in a hospital/private practice/GP setting.
  • Call centre experience

Skills

Essential criteria
  • Ability to communicate clearly.
  • Ability to follow clear instructions and feedback to senior staff.
  • Logical reasoning i.e. providing/receiving routine/sensitive information requiring tact.
  • Competent with current software programmes (i.e. MS Word, Excel, PowerPoint)
  • Keyboard skills
  • Basic numeracy and literacy
  • Excellent interpersonal skills.
Desirable criteria
  • Provide general non-clinical advice.
  • Judge/analyse situations to resolve patient problems.
  • Conversant with hospital information systems.
